ERP Cost of Ownership Model

SYSPRO ERP cost and 5-year cost of ownership model

SYSPRO does not publish prices, so this model takes the numbers from your own SYSPRO quote or renewal. Enter concurrent users, e.net functional-area licenses for integrations, the add-on modules on top of the standard bundle, SQL Server and hosting for self-managed installs or the monthly SYSPRO Cloud ERP fee, and an implementation scope built from SYSPRO 8 solutions. It returns a year-by-year table comparing on-premise, MSP-hosted and SYSPRO Cloud ERP, and shows which lines drive the total.

Users by type

How many people and connections you license, by the user types that matter in SYSPRO.

Operators working in the SYSPRO Desktop or the SYSPRO Web UI (Avanti). A license is consumed per logged-in operator and released at logout, so the count is peak logins, not head count.

Operators set to Contact management user only in Operator Maintenance, who use the Contact Management System programs. SYSPRO tracks a separate CMS user limit; confirm how it is priced on your quote.

Operator codes assigned e.net functional-area licenses in e.net License Apportionment so that integrations, portals and third-party apps can call business objects. Each seat lets one operator code use the functional area.

Starting counts are a sample company size so the effort model shows hours straight away. Replace them with yours.

What to check in a SYSPRO quote

  • Concurrent count: licenses are consumed per logged-in operator, so size on peak logins. Spawned instances and operators logging in twice can consume extra licenses unless Allow concurrent use of this operator is disabled.
  • Bundle versus add-on: check which solutions on your quote are in the standard bundle and which are add-ons with an additional fee per module.
  • e.net seats: every integration, portal or app that calls business objects needs functional-area licenses assigned to operator codes, unless it ships as a Managed Run Time Product. Count functional areas per interface, not interfaces.
  • End of sale: SYSPRO lists Espresso (end of sale 1 September 2025), Embedded Analytics (31 March 2026), APS (Nexsys) and WebReports (31 December 2025) and Harmony (not sold) with named replacements. Price the replacement product and the migration in a 5-year view.
  • Upgrades: SYSPRO 8 2025 requires SQL Server 2019 or later and Windows Server 2022 or 2025. A release upgrade on-premise can pull in database and OS upgrades; add them as infrastructure cost.
  • Web UI scope: some functions (for example Workflow Designer, License Maintenance, Report Writer designers) run only in the SYSPRO Desktop, so plan Desktop installs for administrators and power users.
  • Customizations: Application Designer layouts, custom form fields and scripts (C# scripting replaces VBScript in recent releases) need retesting at each release. Price retesting as customization hours.

SYSPRO licensing explained

In words, from vendor documentation. Follow the source links before you rely on a point in a negotiation.

Concurrent user licensing

SYSPRO counts licenses by logged-in operators. The Licensed users entry on the status bar shows licenses in use against the total licensed. Logging a user out removes them from AdmCurrentUsers and updates the LoggedInStatus flag in AdmOperator, which reduces the concurrent count. Disabling Allow concurrent use of this operator in Operator Maintenance stops one operator from consuming more than one license when logging in twice.

Source
License file and License Manager

SYSPRO issues a License.xml file. The License Manager (opened from Company Setup on the login dialog) imports it with the License Import Wizard and applies it to all or selected companies. The license is stored in the AdmSystemLicense table of the system-wide database and IMPACT.INI is updated. Company names must match the license file.

Source
Standard bundle and add-on modules

SYSPRO groups its solutions into five pillars: Foundation, Finance, Manufacturing, Distribution and Technologies. Some solutions are included with the standard license (bundle); others are add-ons that need an additional fee per module.

Source
e.net functional areas

Business objects are grouped into functional areas for licensing; a module can have several (the Inventory module has seven). e.net licenses are bought per functional area and assigned to operator codes in e.net License Apportionment, which shows Licensed, Allocated and Free counts per module. A guest or anonymous operator can allow several e.net logons, and the logons allowed in a 30 minute window become the number of licenses consumed.

Source
Run Time Product licenses (ISV add-ons)

Third-party products built on e.net can carry a Run Time Product license that connects without extra e.net seats at your site. From SYSPRO 8 2021 R1 only Managed Run Time licenses apply, limited to the functional areas in the product definition, and your site must still license the underlying SYSPRO module.

Source
Release lifecycle

SYSPRO 8 releases are named by year (2024, 2025, 2026 R1) and move through Mainstream, Extended, Legacy and Retired stages. SYSPRO states it intends to give at least 6 months notice of a lifecycle change. Check the current status of your release before you price an upgrade.

How to use the SYSPRO cost model

  1. 1

    Count peak concurrent users

SYSPRO consumes a license per logged-in operator. Check the Licensed users entry on the status bar or the View Users program at your busiest hour, and count Contact Management only users and e.net integration operators separately.

  2. 2

    Enter the quotes you have

Type the license price per user and the annual maintenance percent for on-premise or MSP hosting, and the monthly price per user for SYSPRO Cloud ERP. Leave a deployment empty if you have no quote for it.

  3. 3

Add SQL Server and hosting for self-managed options

SYSPRO 8 runs on Microsoft SQL Server. Enter SQL Server core licenses, Windows Server, hosting or MSP rental, and backup from your own invoices or provider quotes. SYSPRO Cloud ERP includes infrastructure, so leave those empty there.

  4. 4

    Scope the implementation

Pick the SYSPRO solutions in scope, then set companies or sites, integrations, customizations (Application Designer, C# scripts, custom form fields) and data migration objects. Adjust the hours per unit and the blended rate to match your partner's estimate.

  5. 5

Read the drivers and test the range

Check add-on modules, e.net licenses and products reaching end of sale, use the sensitivity sliders to see how the 5-year total moves with license, effort and rate, then export the model or save it to your account.

SYSPRO pricing and licensing questions

How much does SYSPRO ERP cost?

SYSPRO does not publish list prices. The cost depends on concurrent user count, which add-on modules you take beyond the standard bundle, e.net licenses for integrations, deployment (on-premise or MSP license plus annual maintenance, or SYSPRO Cloud ERP licensed monthly) and implementation scope. This model does not guess a price: enter the figures from your quote and it builds the 5-year total around them.

Is SYSPRO licensed per named user or concurrent user?

SYSPRO 8 help describes license consumption by logged-in operators: the Licensed users entry shows licenses in use against the total, and logging a user out reduces the concurrent count. An operator who logs in more than once can consume extra licenses unless Allow concurrent use of this operator is disabled in Operator Maintenance.

Do integrations and the SYSPRO API need separate licenses?

Yes. e.net business objects are grouped into functional areas, and your site buys e.net licenses per functional area and assigns them to operator codes in e.net License Apportionment. Third-party products sold with a Managed Run Time license connect without extra e.net seats, but your site still needs the underlying SYSPRO module.

What is included in the standard SYSPRO license?

SYSPRO organizes solutions into Foundation, Finance, Manufacturing, Distribution and Technologies pillars. Some solutions come with the standard license bundle and others are add-ons with a per-module fee. The bundle contents are set on your quote, so list every module you scope and ask SYSPRO which line it falls under.

What is the difference between SYSPRO on-premise and SYSPRO Cloud ERP cost?

On-premise and MSP hosting carry an upfront software license and annual software maintenance, plus servers, SQL Server and administration (owned or rented from the MSP). SYSPRO Cloud ERP runs on Microsoft Azure with software licensed monthly, and SYSPRO lists upgrades and annual maintenance as included in the rental. Compare both over five years, including the staff time each needs.

Which database does SYSPRO 8 use?

Microsoft SQL Server. SYSPRO 8 2025 lists SQL Server 2025, 2022 and 2019 as supported and advises against 2019, with Windows Server 2022 or 2025. On Azure, SYSPRO also supports Azure SQL Managed Instance in place of SQL Server on a VM.

How often does SYSPRO release, and how long is a release supported?

SYSPRO 8 releases are named by year: 2024 (August 2024), 2025 (September 2025) and 2026 R1 (June 2026). Each moves from Mainstream to Extended, Legacy and Retired. Check the release lifecycle page for your release's current stage and planned change date before you budget an upgrade.

How accurate is this model?

The arithmetic is exact for the numbers you enter. The default effort hours are planning assumptions, not benchmarks, so replace them with your partner's estimate when you have one. Ask an engineer to review the result if you are using it for a budget or a cloud versus on-premise decision.
