ERP cost of ownership model

A five-year total cost model for ERP, built from your own license or subscription quotes. Enter users by license type, choose on-premises, private cloud or vendor SaaS, add infrastructure, scope the implementation and your support model, and get a year-by-year table, an on-premises versus cloud comparison, the cost drivers and sensitivity ranges.

How the model works

Licensing is the line people ask about first, but over five years it is not always the largest. Implementation, internal staff and support sit beside it, and on-premises adds servers, database licenses and the people who run them. The model keeps each of these as its own line so you can see which one drives your total.

Every ERP page explains that product's licensing in words, from vendor documentation with links: the user types, how licenses are counted, and what changes between on-premises and the vendor cloud. Implementation effort is transparent: hours per functional area, site, integration, customization and migration object, plus project management and testing, times a blended rate you set.

Questions

Why does the model not include vendor prices?

ERP vendors do not publish list prices for these products, and negotiated prices vary widely by user mix, modules, term and timing. A model with guessed prices would give a confident wrong answer. You enter the numbers from your quote or renewal and the model does the arithmetic, so the result is only as good as your inputs and never better than it claims to be.

What does the 5-year total include?

License or subscription, vendor maintenance, infrastructure and hosting, database licensing, implementation (hours x blended rate plus contingency), internal staff and outside application support (AMS). Implementation and contingency are placed in year 1; maintenance, subscription and staff costs grow by the percentages you set.

How is implementation effort calculated?

Each functional area in scope has an hours assumption, and each extra site, integration, customization and data migration object adds hours per unit. Project management and testing are added as percentages of that build. Self-managed deployments add an infrastructure build. Every assumption is visible and editable, so you can replace it with your partner's estimate.

How do I compare on-premises and cloud?

Enter the perpetual license and maintenance for on-premises, the per-user subscription for the vendor cloud, and hosting for a private cloud. The model runs all three side by side with the same users, scope and staff, and shows year 1, the average of years 2 to 5 and the 5-year total for each.

Is my data stored anywhere?

The model runs in your browser. Nothing is sent unless you save it to your Netray account or ask for an engineer review. Export to PDF, Excel, Word or CSV works without an account.

Which ERPs are covered?

Each ERP has its own page with its user types, licensing terms explained from vendor documentation, deployment options and implementation areas. More ERPs are added as their licensing notes are verified.
