SMB ERP Implementation Budget Calculator
ERP budgets usually fail on what is left out: internal staff time, data work and contingency. This calculator puts those line items next to subscription and partner fees so you can see a realistic year one and five year figure.
Your numbers
Software subscription from your vendor quote

Your results
An estimate for planning only. Use vendor and partner quotes for commitments. Hardware, third-party add-ons, EDI fees, price escalation and productivity loss are not included.

How to use it
Start with the subscription from your vendor quote and the partner hours from the proposal. Add data migration and training separately, because they are often priced loosely. Then enter the internal staff hours, which includes key users in finance, purchasing, production and IT, multiplied by a loaded hourly cost. Set a contingency percentage and read the year one and five year totals. Change one input at a time to see sensitivity.
- Use hours from a written proposal, not a hunch
- Count key users at 20 to 40 percent of their time
- Keep contingency visible, do not hide it in hours
- Compare the five year figure across shortlisted vendors
The calculation
Base cost is partner services plus data migration plus training plus internal time. Contingency is a percentage of the base. Year one total is the base plus contingency plus the first year subscription. Five year total adds four more years of subscription and support. Training cost is days multiplied by eight hours and the partner rate. The method is deliberately simple so it can be checked by hand.
Reading the result
If internal cost is more than a quarter of the base, check that your team has capacity or plan backfill. A contingency below 10 percent is rarely realistic for a first ERP move; 15 to 25 percent is common for manufacturing projects with BOMs and routings to load. The chart shows how sensitive year one is to your contingency choice. Compare the five year figure, not only year one, when choosing between subscription and perpetual models.
What this leaves out
Hardware or hosting for on-premise options, third-party add-ons for EDI, shop floor data collection or tax, custom development, and lost productivity during the transition are not included. Add them as extra lines in your own plan. Price changes at renewal also matter, so ask the vendor about caps on annual increases.
Frequently Asked Questions
What contingency should I use?
For SMB manufacturers with a first-time ERP move, 15 to 25 percent of the base is common. Lower it when scope is fixed and data is clean, raise it when you have many integrations, custom reports or multiple sites.
Why include internal staff time?
It is usually the largest hidden cost. Key users spend weeks on workshops, data cleansing, testing and training, and their regular work must be covered. Counting it makes the budget honest and supports a backfill decision.
Does the subscription depend on user count?
It depends on the vendor. Some price by named or concurrent users, others by resource consumption or modules. Enter the annual figure from the quote, and re-run the calculator if the quote changes.
Can I compare two vendors?
Yes. Run the calculator once per vendor with each quote, and compare the five year totals. Note which items differ, such as partner hours or training, and ask why.
