Sage Customization and Report Inventory Worksheet
Before a move off Sage 100, Sage 300 or an older X3 release, you need to know what has been customized. This worksheet inventories each custom item, scores value against effort and records a decision.
| Customization | Type | Business owner | Uses per month | Business value (1-5) | Rebuild hours | Hourly rate | Rebuild cost | Priority index | Decision | |
|---|---|---|---|---|---|---|---|---|---|---|
$1,920 | 18.75 | |||||||||
$8,400 | 2.5 | |||||||||
$1,440 | 33.3333 | |||||||||
$2,880 | 0.0833 | |||||||||
$1,120 | 50 |
Priority index = value x monthly uses (capped at 100) divided by rebuild hours. Higher means more value for the effort. Use it to sequence work, not to decide alone.

Optional. The tool and every export work without this. No spam.
How to use it
Walk each department and list the custom reports, screen changes, scripts, integrations and import jobs that they rely on. Record the business owner, how often the item is used, a value rating from 1 to 5 and a rough rebuild estimate in hours. The worksheet calculates the cost and a priority index. Then set a decision for each row. Items nobody owns or uses are candidates to retire before you spend anything on them.
- Include Crystal or SSRS reports and Excel macros
- Include integrations that run on someone's PC
- Ask users, not only IT, what they actually run
- Check scheduled jobs and task scheduler entries
Keep, replace, rebuild or retire
A useful rule is to prefer the standard feature of the target ERP when it meets about 80 percent of the need, rebuild only what is genuinely differentiating, and retire what has no active owner. Cloud ERPs also limit certain kinds of customization, so scripts that touch the database directly usually need a redesign using supported APIs or reporting tools. Record the reason for each decision so you can defend scope later.
Reading the totals
Total rebuild hours are a first order sizing figure for the project plan, not a quote. Compare it with the number of items you marked Rebuild rather than the whole inventory. Sort by priority index to find quick wins: high value, high use and low effort. Review the lowest index items with their owners to confirm they can be dropped.
Common mistakes
The usual miss is shadow customization: Excel files that pull from ODBC, Access databases and local scripts that never appear in the system. Another is rating everything value 5 because every owner defends their report. Ask what decision the report supports, and what the team would do if it vanished.
Frequently Asked Questions
How do I find all the custom reports?
Check the report folders on the server, the report designer's custom list, scheduled tasks, and ask each department for the files they open every month. Also search file shares for Crystal and Excel files that connect via ODBC.
Are the rebuild hours reliable?
They are only as reliable as your estimate. Use ranges early on, then refine after the first rebuilt item. The worksheet is for sequencing and rough budgeting, not for fixed price commitments.
What about customizations in Sage X3?
X3 customizations include custom screens, fields, processes and reports built in its development environment. List them by type and note the folder they live in. The same keep, replace, rebuild, retire logic applies.
Can the inventory support a fit gap analysis?
Yes. Add a column in Excel for the matching standard feature in the target ERP, then mark gaps. The decision column already separates standard replacements from true gaps.
Reports and customizations can often be recreated faster with AI assisted generation under human review. If that interests you, we can talk through what it would take for your stack.
