ERP UAT Test Script Template
User acceptance testing is where business users confirm that the configured ERP runs their real processes. A good script names the step, the data and the expected result so a tester can pass or fail it without asking anyone.
| Script ID | Process | Step and action | Test data | Expected result | Tester | Result | Defect ID | |
|---|---|---|---|---|---|---|---|---|
Set the Result column as you test. Filter the Excel export by Fail and Blocked to produce your defect review list. Keep one script per business scenario, with test data you can recreate, and record the tester who owns the sign-off.
Draft UAT scripts from your process documents
Send us a process document and module list and we will show how a private model can draft first-pass test scripts for your testers to refine.
Optional. The tool and every export work without this. No spam.
How to use the worksheet
Start from the example rows and replace them with scenarios from your own process designs. Write one row per testable step, with the exact data the tester needs and the result that proves the step works. Assign a tester from the business, not the project team, so the sign-off means something. As tests run, set the Result column and add a defect ID for each failure. Export the sheet to Excel to filter by process, tester or result and use it as the weekly UAT status report.
What good test scripts contain
A script that says test purchase order is not a test. A script that gives the item, vendor, quantity and expected approval route is. Cover the normal path, the main exceptions such as partial receipts or credit holds, and the cross-module effects such as inventory value, tax and general ledger postings. Scripts should follow the end-to-end flows that the business runs, for example order to cash from sales order through shipment and invoice to payment.
- One business scenario per script, with stable test data
- Expected result includes system effects, not only screen messages
- Cover roles and approvals, using real user IDs with real authorisations
- Include reports and printed documents such as pick lists and invoices
Defects and sign-off
Agree severity definitions before UAT begins. A common rule is that no severity 1 or 2 defect can remain open at sign-off, and any severity 3 defect has an agreed workaround and owner. Track pass rate by process and use a daily defect triage so fixes are retested quickly. The sign-off record should list the scripts run, the results and the open defects accepted by the business owner.
Common mistakes
Frequent problems include testers who are not given time off their day job, scripts written by consultants without business review, test data that does not look like real data, and UAT running against an environment that is refreshed mid-cycle. Plan for retest as well: a failed script usually needs to be run again after a fix, and capacity should allow it.
Frequently Asked Questions
What is the difference between SIT and UAT?
System integration testing is run by the project team to verify that configuration and interfaces work across modules. User acceptance testing is run by business users to confirm the system supports their real processes. UAT normally begins after SIT exit criteria are met.
How many UAT scripts do we need?
It depends on scope. A single-plant manufacturing implementation commonly has between 80 and 300 scripts across order to cash, procure to pay, production, inventory, quality and finance. Coverage of end-to-end processes matters more than the count.
Who signs off UAT?
Business process owners sign off the scripts for their area, and the project sponsor or steering committee accepts the overall result. IT and the implementation partner should not be the signatories.
Can we reuse scripts after go-live?
Yes. Keep them as a regression pack for upgrades, patches and release updates. Cloud ERP release cycles make a maintained regression pack especially valuable.
If writing and maintaining scripts is slow, we can discuss generating draft scripts from your process documents and ERP configuration with a model that runs inside your network.
