ERP User Acceptance Test (UAT) Script Template

User acceptance testing proves that the business can run its real processes in the new ERP. A script gives every tester the same steps, expected results and a place to record what actually happened, which is what turns opinions into evidence at sign-off.

A starting-point script. Replace the example steps with your own process and use one script per scenario so results can be tracked separately.

Draft UAT scripts from your process documents

We can help convert your process maps into a first set of test scripts.

Optional. The tool and every export work without this. No spam.

How to use the script

Write one script per end-to-end scenario, for example quote to cash, procure to pay, make to stock, subcontracting or period close. Set the preconditions and test data first, since most failed tests in UAT are caused by missing data rather than defects. Testers run each step, record the actual result, mark pass or fail and raise a defect reference for failures. The process owner signs after reviewing the open defects.

  • Use realistic data from the migrated set, not made-up records
  • Test with the actual end users, not only the project team
  • Log every failure with a reference, even small ones
  • Retest fixed defects in the same script version

Scenarios for a manufacturing ERP

At least cover sales order entry with pricing and credit check, material planning and purchase proposals, production order release and backflushing, subcontracting, goods receipt with incoming inspection, shipping with documents, invoicing with correct VAT treatment, intercompany if relevant and month-end close. Include negative paths such as a rejected lot or an order change after release, because these expose real gaps.

Defect severity and exit criteria

Agree severity levels before testing starts. A common scheme is critical for no workaround, high for a workaround that is not acceptable at volume, medium for an acceptable workaround and low for cosmetic issues. Typical exit criteria are no open critical or high defects, a pass rate above an agreed threshold on must-have scenarios and sign-off from each process owner.

Common mistakes

Testing too late leaves no time to fix findings. Using the consultant as tester hides usability problems that users will meet on day one. Another trap is running a happy-path only test. Finally, do not close defects verbally; track every defect to a retest and a recorded result.

Frequently Asked Questions

How many UAT scenarios does a mid-size plant need?

A typical single-plant project ends up with 25 to 60 scenarios across sales, purchasing, planning, production, inventory, quality and finance. Multi-entity or highly regulated environments need more. The test of coverage is whether every critical business process has at least one scenario.

Who should execute the UAT scripts?

The business users who will do the work after go-live, supported by key users who know the new system. Consultants should observe and help but not drive. Their presence changes what gets noticed.

Is UAT the same as system integration testing?

No. Integration testing checks that the systems and interfaces work technically. UAT checks that the process works for the business with its own data and roles. Both are needed, and UAT should start only after integration testing is stable.

What if a defect cannot be fixed before go-live?

Record an agreed workaround, an owner and a target fix date, and obtain explicit acceptance from the process owner. It becomes a known issue in the go-live decision, not a surprise on the first day.
