IFS Cloud Implementation Statement of Work Template

Statement of Work: IFS Cloud Implementation

Customer: Northfield Components Ltd Partner: Example Systems Partner Date: 2026-10-20 Commercial model: Fixed price per phase

1. Purpose and background

This statement of work describes the services Example Systems Partner will provide to Northfield Components Ltd to implement IFS Cloud. It forms part of, and is governed by, the master agreement between the parties.

2. Scope

Sites in scope: Main plant and distribution warehouse

IFS Cloud areas in scope: Finance, procurement, inventory, manufacturing, sales order management

Target go-live: 2027-06-01

3. Out of scope

Historical transactions older than 24 months, custom hardware integration, end user training beyond train-the-trainer.

4. Data migration

Three mock loads plus a dress rehearsal. Customer owns data cleansing; partner owns load programs and reconciliation support.

5. Deliverables and milestones

7. Assumptions

Customer provides timely access to subject matter experts and decisions within agreed turnaround times. Required environments and licences are available by the dates in the project plan. Any assumption proven wrong is handled through change control.

8. Change control

Any change to scope, schedule or price requires a written change request describing the change, its effect on effort, schedule and cost, and approval by both project managers before work starts.

9. Acceptance

Deliverables are accepted when they meet the agreed acceptance criteria. The customer will accept or give written reasons for rejection within an agreed number of business days of delivery.

This is a starting point, not legal advice. Have your legal and procurement teams review it, and align it with the master agreement. Add pricing tables, service levels and warranty terms as your contract requires.

Have the technical scope reviewed

Optional: we can read your draft SOW and highlight data migration and integration gaps.

Optional. The tool and every export work without this. No spam.

How to use the template

Fill the fields for customer, partner, sites, IFS Cloud areas and go-live date, then edit the generated text. Complete the milestone table with real dates and acceptors. Share the draft with procurement, IT and process owners before it goes to the partner. A SOW that business owners have read is far easier to enforce than one only the project manager has seen.

Scope and exclusions

Write scope in terms of business processes and sites, not just module names, and be explicit about what is excluded: historical data, custom integrations, reports, training and extra environments. Ambiguity about data migration and reporting is the usual source of change requests. State who cleanses data and who builds each interface.

  • List every site and legal entity in scope.
  • Name every integration and who builds it.
  • State the number of mock loads and test cycles.

Commercial model and change control

Fixed price per phase gives budget certainty if scope is stable; time and materials with a cap suits uncertain scope. Whichever you choose, the change control clause decides how disputes resolve. Require written change requests with effort, schedule and cost impact, and keep a running change log that both parties sign monthly.

Common mistakes

Customers often leave out their own responsibilities such as decision turnaround and data cleansing, so delays are blamed on the partner. Acceptance criteria written as vague statements invite argument; tie each deliverable to a test or signed document. Do not skip hypercare duration and exit criteria, since support handover is where many projects lose clarity.

Frequently Asked Questions

Is this an official IFS document?

No. It is an independent generic outline for a statement of work. IFS and its partners have their own contract documents. Use this to structure your requirements and check a partner's draft.

Does this give legal protection?

No. It is a starting point and not legal advice. Your legal counsel must review it against the master agreement, liability, intellectual property and warranty terms.

How detailed should the scope be?

Detailed enough that a new project manager could tell whether a request is in or out of scope. Reference an appendix with the process list, interface list and object list rather than describing everything in the body.

Can I export to Word?

Yes. The tool exports the filled document as Word and PDF, and you can continue to edit the Word file with your own pricing and legal sections.

If you want a second opinion on the technical scope, especially data migration and integrations, Netray can review the SOW and flag areas that tend to expand.
