Automate parameter reviews from ERP data

Optional: an expert review of how to flag stale planning parameters and prepare change requests with the evidence attached.

Optional. The tool and every export work without this. No spam.

How to use the form

Fill in one request per part and parameter, or per family if the logic is the same and you list the parts in the reason field. Enter current and proposed values with units, give the data behind the change and estimate the inventory value added or released. Export to PDF or Word, route for signatures, then enter the change in the ERP only after approval. Keep the form with the item master change log.

Why a controlled change process helps

Safety stock and reorder points are often changed under pressure after a shortage and rarely reversed afterwards, so stock creeps up. A short form forces the planner to state the data, shows purchasing and finance the cash effect, and leaves a trail. Many quality systems, including those following AS9100 or ISO 9001, expect controlled changes to data that affects supply and product conformity.

  • Record the evidence, not just the number
  • State the cash impact in currency
  • Set a review date so temporary increases do not become permanent

What good evidence looks like

For safety stock, attach lead time and demand statistics from the last 12 months and the service level targeted. For min-max, show usage by period and the replenishment cycle. For lot size, show EOQ or supplier break quantities. A line such as 'three stockouts' is a signal, not evidence by itself, attach the cause: supplier lateness, forecast error or an unexpected order. The right fix depends on which one it was.

Common mistakes

Changing a parameter without adjusting related ones, for example raising the reorder point while leaving the maximum below it. Making a one-time fix permanent. Editing in production without testing the effect on MRP run results. Skipping the supplier check, so lot size changes break minimum order or pack multiples. Not setting an effective date, so planners cannot tell when the new value applies to open recommendations.

Frequently Asked Questions

Do I need a form for every parameter change?

Not necessarily. Many companies use the form for changes above a value threshold or for critical parts, and a log entry for routine changes. Decide the rule and write it into your procedure.

Who should approve the change?

Typically the materials planning manager, with purchasing involved when lot size or supplier terms are affected and finance when the inventory value change is material. Set limits that suit your organisation.

How long should I keep these forms?

Follow your records policy. For regulated work such as aerospace or defense, retention is often set by contract or quality system. If unsure, keep them as long as the part is active plus the required period.

Can I use this for several parts at once?

Yes, if the same logic applies, for example a supplier-wide lead time update. List the parts in the reason field or attach the exported worksheet so each old and new value is recorded.

If you would like parameter change requests to check themselves against ERP history and write approved values back with a human sign-off, Netray can build that workflow.
