Machine Warranty Reserve Calculator

Every machine you sell carries a future cost. This calculator turns your claim history into an expected warranty cost per machine and a reserve for the year, so quoted prices and provisions reflect reality.

How to use the calculator

Enter the number of machines shipped, average price and warranty period. For claims per machine per year, divide the number of claims in a period by the number of machine-years under warranty in the same period. Add the average cost per claim including labor, parts, travel and freight, and the share you recover from suppliers. The calculator returns expected claims per machine, cost per machine and the reserve for all machines shipped in the year. Use the chart to see how extending warranty from 12 to 24 months changes the cost.

  • Use actual claim history, not a guess
  • Include travel and freight in cost per claim
  • Adjust supplier recovery to what you really collect
  • Test warranty extensions before offering them

The formula

Expected claims per machine equal the claim rate per year multiplied by warranty years. Gross cost multiplies that by the average cost per claim. Net cost applies supplier recovery. The reserve equals net cost times machines shipped. With the defaults, a 12 month warranty gives 0.8 claims, about 2,080 dollars gross and 1,664 dollars net per machine, roughly 0.9 percent of price. Doubling the warranty to 24 months doubles the cost in this constant-rate model.

Limits of a constant-rate model

Failures are rarely constant. New machines often show early-life problems in the first months, followed by a quieter period, then wear-out. If your data show a front-loaded pattern, a longer warranty will cost less than proportional. If key components wear out near the end, it will cost more. Segment the rate by product family where possible, and review the assumption every quarter against actual claims and the reserve balance.

Common mistakes

Teams often use claim counts without dividing by machine-years, ignore internal labor and travel, or count supplier credits that never arrive. Another mistake is pricing extended warranties at the same rate as standard warranties without considering wear. Compare the reserve to actual spend each period and adjust. Persistent over-reserve ties up cash, while under-reserve causes surprise margin loss.

Frequently Asked Questions

What is a warranty reserve?

A warranty reserve or provision is an estimate of future warranty costs booked when the machine is sold. It matches expense to the revenue it relates to, subject to your accounting framework.

How do I get claims per machine per year?

Divide the claims received in a period by the total machine-years in warranty during that period. For example, 60 claims across 75 machine-years gives 0.8 claims per machine per year.

Should I include goodwill repairs?

Include them if you routinely perform them and want the price to cover them, but track them separately so you can see the cost of goodwill versus contractual obligations.

Does this cover extended warranties?

It estimates cost for any warranty length. For extended warranties, review whether the failure pattern changes with age and price the extension accordingly.

If warranty claims are recorded against serial numbers in your ERP, Netray can help compute claim rates and reserves directly from that data. Ask for a short review.
