Manufacturing Cost Accounting Journal Entries Reference

Most manufacturing accounting problems come down to one question: which accounts did this transaction hit? This reference lists the standard entries from raw material receipt to cost of goods sold so controllers and ERP consultants can check a configuration quickly.

Account names vary by chart of accounts. These are generic patterns for training and design; always confirm treatment with your auditors and your ERP account determination setup.

How to use the table

Search for an event such as WIP, scrap or underapplied. Compare the debit and credit with what your ERP actually posts in a test transaction. The Applies to column separates entries that exist under all methods from those specific to standard or normal costing. Use it as a checklist when mapping SAP OBYC, Oracle subledger accounting or Dynamics posting profiles.

The cost flow behind the entries

Materials, labor and overhead flow into work in process, move to finished goods when production completes, and leave to cost of goods sold when sold. Overhead is applied with a predetermined rate during the period, while actual overhead accumulates in a control account. The difference between the two is closed at period end, which is why the underapplied and overapplied entries matter for margin reporting.

Reading variance entries

Under standard costing, inventory is carried at standard and variances are recorded when actual differs. An unfavorable variance is a debit to a variance account, a favorable one is a credit. Purchase price variance is recorded at receipt, while usage, efficiency and rate variances are recorded on production orders. Material and labor variances usually close to cost of goods sold at period end, unless material amounts remain in inventory.

Common mistakes

Posting variances to inventory permanently, skipping the overhead control account so that under and over absorption cannot be seen, mixing scrap into labor variances, and reversing returns without reversing cost. Also check cutoff: a receipt posted on the last day without an accrual creates a phantom payable mismatch at close.

Frequently Asked Questions

What is the journal entry when materials are issued to production?

Debit work in process and credit raw materials inventory at the cost of the materials issued. With backflush costing, the same entry is posted when the finished product is reported rather than when each component is issued.

How is overhead applied in a journal entry?

Debit work in process and credit manufacturing overhead applied, using a predetermined rate times the actual quantity of the allocation base. Actual overhead costs are debited to the overhead control account separately.

Where does underapplied overhead go?

Small amounts are usually closed to cost of goods sold. Material amounts are prorated among work in process, finished goods and cost of goods sold based on the overhead applied in each balance.

Do these entries differ for FIFO and average cost?

The accounts are the same. Only the cost amount used when relieving inventory changes. FIFO uses the oldest layer, weighted average uses the running average, and standard costing uses the standard plus recorded variances.

If your ERP posts these entries differently than expected, we can help trace the account determination and automate the review.
