Automate master data approvals
Want change requests routed and applied to your ERP with a human approval step? Ask for a short expert review of your process.
Optional. The tool and every export work without this. No spam.
How to use the form
Complete one form per change, or per batch of changes that share a reason and an approver. Pick the object and change type, then record the exact field names as your ERP shows them. Always write the current value as well as the requested value, because that pair is what an auditor or a data steward needs when a number looks wrong three months later. Use the downstream impact box to name the processes that read the field, such as MRP, costing, pricing or tax determination.
- One form per reason and approver
- Record both old and new values
- Name the processes that read the field
- Set an effective date, not just a request date
Why change control on master data matters
Master data is read by every transaction. A wrong lead time distorts planning, a wrong tax code distorts invoices, and a duplicated vendor can lead to a duplicate payment. Governance frameworks such as DAMA-DMBOK treat change control, ownership and stewardship as core controls. The form is the lightweight, human-readable half of that control. The ERP change log, such as change documents in SAP or audit tables in other systems, is the system-recorded half.
Reading the checks section
The checks table is deliberately short. A duplicate search stops teams creating a second record for something that already exists. A review of open orders catches changes that conflict with documents in flight, for example changing a unit of measure on an item with open purchase orders. A dependent record review covers BOMs, routings and price lists. A sandbox test is the cheapest way to see what MRP will do before it does it in production.
Common mistakes
The usual failures are approving a change without reading the impact, changing a unit of measure after transactions exist, and leaving the requester as the only approver. Another is mixing many unrelated changes in one form, which makes rejection of one line block all the others. Keep the form small and the approval chain proportional to the risk of the object.
Frequently Asked Questions
Who should approve a master data change?
The data owner for the domain approves content, for example purchasing for vendors or engineering for BOMs. The data steward checks quality and duplicates, and the ERP administrator executes it. The requester should never be the only approver of their own change.
Do I need a form if my ERP has a workflow?
If your ERP workflow captures old and new values, reason and approvals, use it. This form is for teams that run changes by email or spreadsheet, or that need a document for audits and supplier or customer requests.
Can one form cover many records?
Yes, when the reason, change type and approver are the same. List the record IDs in the record field, or attach an Excel list. Split the form when the risk or approver differs.
How long should I keep the forms?
Follow your records policy and any regulatory requirement for your industry, such as quality or financial controls. Many teams align retention with the audit period for the affected process.
If change requests arrive by email and are keyed by hand, we can build an approval workflow that writes the approved change into your ERP with a human sign-off.
