Duplicate vendor check on your ERP

Want a read-only scan of your vendor master for likely duplicates? Request an expert review.

Optional. The tool and every export work without this. No spam.

How to fill it in

Take the legal name and tax number from the vendor's registration documents, not from an email signature. Enter the trading name separately so searches find both. Record payment terms and currency as agreed in the contract or quote. The spend category helps accounts payable and purchasing route the vendor into the right account determination and approval rules. Attach supporting documents to the same request.

Why verification comes before creation

A vendor record controls where money goes. Searching on name, tax ID and bank account before creating a record is the main defence against duplicates. Confirming bank details by calling a number you already hold is the standard defence against payment diversion fraud. Screening against sanctions and restricted party lists matters for defense, aerospace and export controlled supply chains.

  • Search name, tax ID and bank account
  • Validate the tax ID with the official source
  • Call back on a known number
  • Screen restricted parties as your policy requires

Mapping the form to ERP fields

The form groups map to the usual vendor record sections: general data and addresses, tax and legal identifiers, bank details, and purchasing or company-code data such as payment terms and currency. Field names vary by system, so use this form as the intake and let the data steward key the values. Keep the request number on the record or in an attachment for traceability.

Common mistakes

Creating the vendor before checks are complete, accepting bank details by email, using a parent company name on the record while invoices come from a subsidiary, and leaving the tax ID blank for domestic vendors. Each of these is cheaper to prevent at intake than to clean up after payments run.

Frequently Asked Questions

Should the buyer create the vendor record?

Separation of duties is a common control: the person who requests or buys from a vendor should not be the person who creates or changes bank details. Use a data steward or accounts payable role to create the record.

What is the best duplicate check?

Search by normalized legal name, tax ID and bank account number together. Name alone misses spelling variants, and bank account alone misses vendors with several accounts. Use all three where your system allows.

Do I need this for one-time vendors?

Use a lighter version. One-time vendors are a known fraud and duplicate source, so keep a record of who approved them and what for, even if fields are fewer.

Can I add fields for my country?

Yes. Export to Word or Excel and add local fields, such as GST, VAT, CNPJ or W-9 details, according to your tax and legal requirements.

If vendor creation is slow or error prone, we can build an intake agent that pre-checks duplicates in your ERP and prepares the record for human approval.
