Messaging Integration Risk Register Worksheet (Excel Export)

Chat integrations create risks that ordinary ERP interface projects do not: personal phone numbers, third-party platform rules, identity mapping and alert fatigue. This register starts with realistic entries so you edit rather than invent. Score each row, assign owners and export to Excel.

Scores of 15 or more usually need an owner and a dated action. Adjust the thresholds to your organization's risk policy.

Security review of a chat-to-ERP design

Send your register and architecture sketch for a short review of identity, data exposure and logging.

Optional. The tool and every export work without this. No spam.

How to use the register

Review each pre-filled risk and delete those that do not apply. Add your own, scoring probability and impact from one to five. The score column multiplies them, so the maximum is 25. Assign a named owner and a review date to anything scoring 12 or higher. Revisit the register at each project gate, not only at kickoff. Export to Excel and attach it to the charter or the security review pack.

Risk areas specific to messaging

Identity is the first area: a chat account is not an ERP login, so you need a reliable mapping and role checks on every request. Privacy is the second: phone numbers and message content are personal data in many jurisdictions, and retention should be decided up front. Platform policy is the third: channels such as WhatsApp require business verification, approved templates and opt-in for many message types, and rules can change. Reliability and adoption complete the set.

  • Identity and role mapping
  • Consent and retention
  • Template and app approvals
  • Queueing and replay
  • Notification volume

Common mistakes

Scoring everything as medium makes the register useless, so force a spread. Writing mitigations like be careful gives no one an action. State what will be built, configured or decided. Another mistake is leaving accepted risks undocumented. If the business accepts a risk, record who accepted it and when. Finally, do not treat this as legal or compliance advice. Have your privacy and security teams review the entries that affect regulated data.

Frequently Asked Questions

What score needs escalation?

Many teams escalate at 15 or above and review 8 to 14 monthly. Set your own thresholds to match your risk policy and record them in the worksheet notes.

Are the sample risks complete?

No. They are common starting points. Add risks for your industry, such as export-controlled data appearing in chat, and remove those that do not apply.

Who should own each risk?

The person best placed to act on it, not the project manager by default. Security risks go to security, consent risks to the privacy owner, and so on.

Can I add columns?

Export to Excel and add columns such as residual score or linked control. The in-browser version keeps a fixed set for simplicity.

Netray can help reduce the identity and data exposure risks by designing read-only, role-aware access from chat to your ERP on infrastructure you control.
