Messaging Integration Project Charter Template (WhatsApp, Teams, ERP)

A messaging integration looks small, but it touches ERP security, channel policy, privacy and user behavior at once. A charter forces those conversations to happen before the first webhook is written. Fill the fields, review the generated document and export it for sign-off.

Messaging Integration Project Charter Template

Project Charter

Company: Acme Precision Ltd Project: Shop-floor alerts to Microsoft Teams Sponsor: VP Operations Owner: IT Integration Lead ERP: Infor SyteLine 10 Channel: Microsoft Teams Direction: Two-way with approvals Start: 2026-11-02 Go-live: 2027-01-18

Problem Statement

Buyers learn about late purchase orders and quality holds from email hours after the event. Approvals wait in inboxes.

Scope

In scope: PO approval requests, quality hold alerts, late shipment alerts for three plants.

Out of scope: Customer-facing messaging, write-back of financial postings without approval.

Review my messaging integration scope

Send your charter and get a short written review of scope, security and sequencing from an integration specialist.

Optional. The tool and every export work without this. No spam.

How to use the charter

Complete the fields in the order a sponsor would ask the questions: what hurts today, what is in and out of scope, who owns it and when it should go live. The document blocks assemble automatically. Then fill the blank table cells by hand in the exported file, or leave them for the kickoff meeting. Keep the problem statement to a few sentences with a concrete example, such as an approval that sat unanswered for two days. Vague problems produce vague integrations.

What a good scope statement contains

State the message types, the plants or business units, the roles who receive them and the direction of flow. Outbound alerts are a much smaller project than two-way approvals, because two-way flows need identity mapping between a chat user and an ERP user, plus an audit trail. Write the out-of-scope list as carefully as the in-scope list. Customer-facing messaging on WhatsApp, for example, brings opt-in and template approval rules that internal Teams alerts never face.

  • Message types and triggers
  • Recipient roles and sites
  • One-way or two-way
  • Identity mapping approach
  • Explicit exclusions

Common mistakes

Teams skip the success measures and then cannot show value after launch. Others treat the channel account as an afterthought, yet business verification, app registration and tenant admin consent can take longer than the code. A third mistake is ignoring notification volume. Put a target for messages per person per day in the charter and review it during the pilot. If the ERP already has a workflow or alert engine that does the job, say so in the charter and justify why chat is better.

Frequently Asked Questions

Who should sign the charter?

At minimum the executive sponsor, the project owner, information security and the ERP owner. Security signs because chat channels move business data outside the ERP's own screens.

Is this suitable for WhatsApp customer messaging?

It works as a starting point, but customer messaging adds opt-in capture, template approval and retention rules. Add those to scope and risks, and involve legal or privacy staff.

How long should a charter be?

One to two pages. The goal is alignment on scope, ownership, dates and risks, not a full project plan. Detailed tasks belong in your planning tool after the charter is approved.

Can I export it to Word?

Yes. The tool exports the generated document to PDF or Word so you can edit the blank tables and circulate it for signature.

If you want the ERP events, role checks and approvals wired up on your own infrastructure, Netray can review the charter and sketch a read-only first release.
