How to use it

Enter the quoted price per user and any monthly base or tier fee. Set the discount for annual prepayment, the expected renewal uplift and any one time onboarding charge. Slide the user count to see how cost scales. Run the same inputs for each shortlisted vendor and compare the five year total rather than the headline monthly price.

  • Count only named users who log in
  • Ask whether shop floor tablets need a seat
  • Ask which API or integration features cost extra
  • Get renewal caps in writing

The math

Year 1 subscription is the base fee plus users times the per user price, multiplied by twelve and reduced by the prepay discount. Later years apply the yearly uplift to the previous year including add ons. Five year TCO sums all five years plus onboarding. The effective per user figure divides the subscription by users, which exposes how the base fee weighs on small teams.

Reading the chart

The year 1 line rises almost straight with users when the base fee is small. A large base fee makes the effective per user cost fall as you add seats, which favors vendors with flat tiers if you expect growth. If the lines of two vendors cross inside your expected user range, the cheaper option depends on your headcount plan.

Common mistakes

Buyers often compare list price against another vendor discounted quote, forget that read only users may still count as seats, and ignore the cost of connecting accounting, shipping or ecommerce tools. Also confirm what happens to price if you exceed a tier mid contract.

Frequently Asked Questions

Is cost per user the right way to compare MRP tools?

Only partly. Compare the five year total including base fees, add ons, onboarding and renewal uplift. Two vendors with the same per user price can differ by tens of percent once those items are added.

How much do cloud MRP renewals usually rise?

Annual increases of roughly 3 to 8 percent are common in subscription software, but contracts differ. Ask for a cap in writing and enter it as the yearly increase here.

Do shop floor operators need paid seats?

It depends on the vendor. Some include shop floor or tablet users in a lower tier, others count every login. Ask explicitly and model the realistic count.

Does this include implementation partner fees?

Only what you enter as onboarding. Outside consulting for data migration or custom integrations should be added to that field for a fair comparison.
