Open PO Expedite Tracker Worksheet
Expediting works when a buyer sees the same short list every week and knows which line stops production. This worksheet turns a long open-PO report into a ranked action list with value at risk.
| PO / line | Supplier | Part | Need date | Supplier promise | Days late (days) | Open qty | Unit cost | Open value | Impact | Next action | |

Source the list from your ERP's past due or open PO report each week. Sort by impact first, value second. Record the supplier's new promise date in the ERP too, so planning sees it.

Optional: a read-only past-due list ranked by demand impact.
Optional. The tool and every export work without this. No spam.
How to use the tracker
Pull past-due lines from the ERP, paste or key in PO, supplier, part, need date and promise date. Add open quantity and unit cost so value computes. Classify impact: line down, customer order, safety stock or low. Choose the next action. Export to Excel and share before the weekly planning meeting.
- Rank by impact before value.
- Update the promise date after every supplier call.
- Close the line when receipt is posted, not when shipped.
Choosing the action
Call the supplier for small slips. Ask for a partial shipment when you need only a share of the quantity. Upgrade freight when the supplier is ready but transit is the problem and the premium is smaller than the cost of a stopped line. Find an alternate when the supplier cannot commit. Reschedule the need date if production can move, which is cheaper than expediting.
Working with ERP data
Use the open purchase order report or schedule line view: SAP EKET schedule lines, Oracle PO shipments, D365 purchase order lines, SyteLine PO line releases. Confirmation fields hold the supplier promise. If buyers keep promises in spreadsheets only, MRP plans against the original date and generates false shortages.
Common mistakes
Expediting everything equally, chasing by email without a date commitment, not recording the new promise, paying premium freight on low-impact parts and never asking why the line is late. If the same supplier appears every week, fix the lead time or the supplier rather than the symptom.
Frequently Asked Questions
How do I decide which PO to expedite first?
Rank by what stops: line-down parts first, then parts for confirmed customer orders, then safety stock. Open value is a tiebreaker, not the lead criterion.
Should I pay for premium freight?
Only when the cost is lower than the cost of the delay, such as stopped production or a penalty. Record the premium against the supplier if the delay was theirs and recover it where the agreement allows.
What is a schedule line confirmation?
A supplier's committed delivery date and quantity recorded against a PO line. Recording confirmations in the ERP keeps planning accurate and lets you measure promise reliability.
How often should I review the list?
Weekly at minimum, daily for critical lines. Update promise dates in the ERP after each contact so everyone sees the same date.
