Supplier Expedite Request Template

A vague 'please rush' email is easy to ignore. This template gives the supplier the exact order line, the date you need and the reason, and it asks for a written commitment you can plan against.

Reason

A customer order moved forward and work order 100482 will stop without this material.

Please confirm by reply

1. A new committed ship date and quantity per shipment. 2. The carrier and tracking reference once shipped. 3. Any extra cost to meet the required date, before you proceed.

Acknowledgement

Buyer / Date
Supplier representative / Date

Agree any premium freight or overtime cost in writing before it is incurred. Update the PO delivery date in your ERP only after the supplier confirms, so MRP plans against a real date.

Automate past due PO follow up

Optional: we can discuss a read-only report that lists late PO lines by impact.

Optional. The tool and every export work without this. No spam.

How to use it

Enter the PO and line, the part, the open quantity and both dates: what the supplier promised and what you need. State the reason in one or two sentences with the consequence, for example a work order stop or a customer ship date. Say whether a partial shipment helps, because partials often arrive sooner. Export the PDF and attach it to your email, or paste the sections into the message body.

Why the structure matters

Suppliers prioritise by customer impact and by clarity. A request that lists line, quantity, dates and the partial option can be actioned by a sales desk in minutes. Asking for a confirmed ship date, carrier and tracking gives you data you can load as a revised promise date, and it stops the loop of repeated chasing. Naming extra cost up front avoids a surprise invoice.

  • One request per PO line when the dates differ
  • Quote the supplier's own order acknowledgement number if you have it
  • State the cutoff after which the material is no longer useful

ERP notes and mistakes

In SAP the supporting data comes from the PO schedule line and ME2N; in Epicor and SyteLine it is the PO release and due date. Do not change the due date on the PO just to make the late line disappear, as that hides a real problem from MRP. Do not expedite everything: buyers who flag twenty lines get none prioritised. Rank by the date a build stops.

Frequently Asked Questions

Should I email or call the supplier?

Do both for urgent items. Call to get an immediate answer, then send this written request so the commitment and the cost agreement are on record.

Can I ask for a discount if the supplier is late?

Check the PO terms and the supply agreement first. This template only requests the date and asks about extra cost. Penalties or credits belong in a separate commercial discussion.

Do I update the ERP promise date straight away?

Only after you have a written or verbal confirmation. An unconfirmed date in the ERP makes MRP believe supply is secured when it is not.

What if the supplier refuses the new date?

Escalate with the shortage memo, look for alternate sources or substitutes, and ask engineering whether an approved alternate is available before the stop date.

Netray can help build a read-only ERP view that lists past due and at risk PO lines so expedite requests start from facts, not memory.
