SYSPRO Analytical Reports and PO Reporting

Short answer
SYSPRO gives you four reporting routes for purchase orders: the standard PO reports in the Purchase Orders module, SYSPRO Reporting Services (SRS) for formatted output, SYSPRO Analytics for dashboards and trend analysis, and direct SQL against the PorMasterHdr and PorMasterDetail tables. Use standard reports for routine status, Analytics for management views, and SQL for open commitments or receipt gaps the standard reports do not show.
Applies to: SYSPRO 7 and SYSPRO 8 (Purchase Orders module); module and report names vary by version and licence
How to get PO status, receipts and open commitments out of SYSPRO
- 1Open the Purchase Orders module from the SYSPRO menu and look under its Reports (or Inquiries) section for the standard listings, such as outstanding or open orders, receipts and supplier-based listings. Exact report names depend on version.
- 2Run the report with filters for supplier, buyer, warehouse, due date range and order status so you only pull open lines, not history.
- 3Send the output to the screen, printer, or a file; where the report is delivered through SRS, use the export options to save as PDF or Excel.
- 4For interactive checks use the PO Browse and the Purchase Order Inquiry (PO status, lines, receipts and invoice matching) rather than a printed report.
- 5For management dashboards, build or use the PO and supplier views in SYSPRO Analytics, if your site licenses it.
- 6For anything custom, such as open commitment value by supplier, query PorMasterHdr and PorMasterDetail with a read-only SQL login and test against a copy first.
- 7Schedule the report through SYSPRO's reporting or Windows scheduling so buyers get a weekly overdue-lines file.
Which route fits which question
The standard PO reports answer the daily questions: what is open, what is late, what has been received but not invoiced. They respect SYSPRO's operator security, run inside the application and need no extra tooling, so start there.
SYSPRO Reporting Services (SRS) is the formatted-output layer used by many SYSPRO 8 reports. If a report layout does not suit you, a report designer can adjust the template instead of rebuilding the logic. SYSPRO Analytics is the better choice for trends such as supplier delivery performance and spend by category, because it works on summarised data rather than line-by-line listings.
When a question spans modules, for example open PO lines against sales order demand for the same stock code, SQL or an Analytics model is usually faster than chaining reports.
SQL for open PO commitments
SYSPRO stores purchase order headers in PorMasterHdr and lines in PorMasterDetail, keyed by PurchaseOrder and line. The query below is a starting point for outstanding quantity by line. Column names can differ slightly by version and company, so check them in SQL Server Management Studio first, and always run it on a read-only account.
Remember that SYSPRO company databases are separate, so run the query in the right company database, and filter out completed or cancelled orders using the status field values documented for your version.
SELECT d.PurchaseOrder, d.Line, d.MStockCode,
d.MOrderQty, d.MReceivedQty,
(d.MOrderQty - d.MReceivedQty) AS OutstandingQty
FROM PorMasterDetail d
JOIN PorMasterHdr h ON h.PurchaseOrder = d.PurchaseOrder
WHERE d.MOrderQty > d.MReceivedQty
ORDER BY d.PurchaseOrder, d.Line;Common reporting gaps
Open commitment value in the company currency needs the line price, any discounts and the exchange rate on the order, so a simple quantity-times-price estimate will disagree with the GL commitment figures. Decide which definition finance wants before you build anything.
Receipts that are in GRN (goods received, not yet invoiced) are tracked separately from PO lines, so a PO may show fully received while the supplier invoice is still outstanding. Reconcile with the GRN suspense account, not just the PO status.

Common pitfalls
- !Running SQL against the production database with a write-capable login. Use a read-only account and never update SYSPRO tables directly.
- !Assuming a PO report ties to the GL. Commitments, GRN suspense and exchange rates cause differences.
- !Forgetting the company database. SYSPRO keeps each company in its own database.
- !Exporting a report to Excel and losing leading zeros on supplier or stock codes. Format those columns as text.
- !Relying on a column name from a forum post. Check names in your own version before shipping a report.
How an ERP-grounded AI assistant handles this
ERPray can answer questions like 'which open PO lines are more than a week late for suppliers we use on critical parts?' by generating the read-only query against the SYSPRO database, showing the SQL it ran and respecting operator roles, so buyers do not wait for a custom report. It can run on-prem against the customer's own SQL Server with an open-weight model on the customer's hardware. For standard daily listings, SYSPRO's own reports are enough.
Frequently asked questions
Which SYSPRO report shows open purchase orders?
Look in the Purchase Orders module reports for the outstanding or open order listing and filter by status and due date. The exact report name differs between SYSPRO 7 and 8, so check your reports menu or ask your SYSPRO partner for the report list on your licence.
Can I report on SYSPRO purchase orders in Excel?
Yes. Export a report or browse to Excel, use SYSPRO Office Integration if it is licensed, or pull data over ODBC or SQL into Excel or Power BI. Treat the Excel copy as a snapshot, because it will not update unless you refresh the query.
What tables hold SYSPRO PO data?
Headers are held in PorMasterHdr and lines in PorMasterDetail, with receipts and related transactions held in other Por tables. Table structures vary by version, so confirm them in your own company database before building a report on them.
Is SYSPRO Analytics the same as SRS?
No. SRS (SYSPRO Reporting Services) produces formatted operational reports and documents. SYSPRO Analytics is a separate analysis and dashboard capability for summarised data and trends. Both read the same company data but suit different questions.

SYSPRO SQL Query for Inventory On Hand by Warehouse
SYSPRO runs on SQL Server with one database per company, typically named like SysproCompanyA, and inventory is split between InvMaster for part-level data and InvWarehouse for quantities per warehouse. Join them on StockCode, filter, and read the quantity columns. Use a read-only login, never write to SYSPRO tables directly, and prefer e.net business objects for any change.
How-toSYSPRO tables list: core database tables by module and safe queries
SYSPRO stores data in SQL Server with one admin database (SysproAdmin) and one database per company (for example SysproCompanyA). Table names are module prefixed and Pascal case, such as InvMaster, SorMaster and WipMaster. Query them read-only and write only through business objects.
How-toHow to Do a GRN (Goods Received Note) in SYSPRO
In SYSPRO you receive goods against a purchase order in the Purchase Orders module, which creates a goods received note (GRN), puts stock into the warehouse and posts the value to a GRN suspense account. When the supplier invoice arrives, Accounts Payable matches it to the GRN, which clears the suspense and records any price difference.
How-toSYSPRO Report Writer, Reporting Services and Crystal: Options and Fixes
SYSPRO offers several reporting routes: built-in operational reports, the Report Writer for custom listings, SYSPRO Reporting Services (SRS, built on SQL Server Reporting Services) for formatted documents, and Crystal Reports in some older and customised setups. When SRS printing or print preview fails, check the report server service, its configured URL and credentials, and the permissions of the SYSPRO service account first.
How-toSYSPRO reporting API: e.net, SRS server-side reporting, Crystal Reports and SRS preview problems
SYSPRO gives you three reporting routes: the e.net Solutions business object API (XML in, XML out) for programmatic data, SYSPRO Reporting Services (SRS) for designed reports run on the server, and Crystal-based or SQL-based custom reports. If the SRS preview does not work, check the services, the runtime and bitness, the SQL permissions and the client and server versions in that order.
Error fixError validating SYSPRO online profile: what it means and how to fix it
A profile validation error means the SYSPRO client or service could not confirm the operator, company, licence or database connection it was handed at logon. Check the service and licence first, then the operator and company, then the database and disk, in that order. Storage errors are usually full disks, a locked SQL file or a tempdb problem rather than a SYSPRO bug.
