Packaging and Converting Quotation Template

Quotation Q-2026-0417

From: Midwest Converting Co. To: Northfield Foods Inc., Attention: Purchasing Date: 2026-10-21 Valid for 30 days from the quote date.

Product and specification

Folding carton, 6.5 x 9.25 in flat, 18 pt SBS

Material: 18 pt SBS, one side coated. Print: 4 color process plus one PMS, aqueous coating. Finish: die cut, strip, glue straight line. Packing: 250 per bundle, shipped on 40 x 48 pallets.

Pricing by quantity

QuantityPrice per 1,000Notes
10,000$142.00
25,000$118.50
50,000$104.75

One-time charges

Cutting die $1,350; print plates $780; set-up $0

Tooling remains the property of the supplier unless otherwise agreed in writing, and is retained for future orders subject to the customer's storage terms.

Production terms

Overs and unders: +/- 10 percent of the ordered quantity, billed at the unit price. Lead time: 15 working days after approved proof and tooling. Freight: FOB plant, customer pays. Payment: Net 30 from invoice date.

Assumptions

Pricing assumes supplied artwork is print-ready and matches the approved die-line. Artwork changes, color changes, special inks, additional proofs and rush production are quoted separately. Prices are based on the specification above and current material costs, and may be revised if the specification or material surcharges change before order.

Acceptance

Quantity ordered: ____________________ Customer PO: ____________________

Customer authorized signature and date / Date
Supplier authorized signature and date / Date

This is a starting point and not legal advice. Have counsel review your standard terms, tooling ownership clause and limitation of liability. Add material surcharge, price validity and cancellation terms to match your own policies.

Draft quotes from ERP data

Optional: see how specs, routings and prices already in your ERP could pre-fill a quote like this for estimator review.

Optional. The tool and every export work without this. No spam.

How to use it

Fill in your company, the customer, the quote number and validity period. Describe the product and write the specification in the textarea: material, print, finishing and packing. Enter up to three quantity price breaks with prices per thousand, then add tooling or set-up charges, overs and unders, lead time, freight and payment terms. Preview the document and export it to Word to adjust wording or to PDF to send.

What a converting quote should include

The quote needs enough specification that two estimators would price it the same way: material and caliper, colors and coatings, finishing, packing and delivery. Price breaks show how cost per thousand falls as the quantity rises. Tooling is quoted separately with an ownership statement. Overs and unders are industry practice in print and converting, often around 10 percent, and should be explicit.

  • Specification: material, print, finish, packing
  • Price breaks per thousand at three quantities
  • Tooling, plates and set-up as one-time charges
  • Overs and unders, lead time, freight and payment

Using the price breaks

Build the price breaks from your cost worksheet by changing quantity and keeping setup fixed. Price per thousand will drop quickly between the first and second break and slowly after that. Present prices that reflect real cost steps rather than round discounts, and avoid breaks so close together that they confuse buyers.

Common mistakes

Quotes cause trouble when overs and unders are omitted, when tooling ownership is unclear, when a validity period is missing and material prices move, or when a spec change is not tied to a re-quote. Keep one quote number for each version and note changes in writing.

  • State validity and a material surcharge clause
  • Quote artwork changes and proofs separately
  • Confirm the die-line and approved proof before production

Frequently Asked Questions

What are overs and unders?

Overs and unders let the supplier ship slightly more or fewer pieces than ordered because press waste and counting vary. Ten percent is a common convention in some print sectors, but agree it in writing and bill at the unit price.

Who owns the tooling?

It depends on the agreement. Many converters keep dies and plates and store them for repeat orders, while some customers pay in full and take ownership. State the rule on the quote so there is no argument at reorder.

How long should a quote be valid?

Thirty days is common, and shorter when raw material prices are volatile. Add a surcharge clause so a material price jump does not become a loss on an open quote.

Can I add more price breaks?

Export to Word and add rows to the pricing table. For many breaks, use the converting job quote worksheet to compute them first and paste the results.

If quotes are assembled by hand from several systems, we can help build an on-prem assistant that drafts a quote from your item, routing and pricing data for an estimator to review and approve.
