Quote drafting from ERP data

Optional: we can discuss generating a first-draft quote from your routing, material and rate data with estimator approval.

Optional. The tool and every export work without this. No spam.

How to use the template

Fill in your company and customer, the quote number and date, and the part and revision from the drawing or RFQ. Add up to three quantity price breaks and any one-time tooling or setup charge. State lead time in weeks after receipt of order, payment terms and delivery terms. Use the assumptions box for everything that the price depends on. Then export to PDF or Word and send it with the cost sheet kept internally.

What a good quotation states

Buyers compare quotes line by line, so every term that affects cost should be written down. Name the drawing revision, since price changes with revision. State the quantity tiers, since unit price falls as setup is spread over more parts. Note what is included, such as material certificates, packaging and inspection, and what is excluded, such as first article reports, special testing and export packing. A validity period protects you against raw material swings.

  • Drawing number and revision, and whether you quoted from a model or a print.
  • Price breaks, minimum order quantity and any scrap or overrun tolerance.
  • Tooling ownership and who pays for fixtures, gauges and dies.
  • Lead time from purchase order, not from quote date.
  • Payment terms, delivery terms and currency.

Pricing check before you send

Before sending, confirm the price breaks cover your cost at each quantity and still reach the target margin. A quick test is to compare the lowest tier against your standard cost plus required margin. Check that the setup is spread correctly over the smallest tier and that material surcharges are noted if metal prices are volatile. If the part is critical, run the quote review checklist so that heat treatment, special processes and inspection requirements are not missed.

Common mistakes

Common errors include quoting without the revision, leaving validity open ended, forgetting outside processing, and omitting the lead time for materials with long supply. Another is giving a single price for a quantity range when your cost changes with batch size. Finally, do not let the quotation contradict the customer's purchase order terms; resolve differences in writing before production starts.

Frequently Asked Questions

What should a manufacturing quotation include?

Customer and part details with revision, quantity price breaks, one-time charges, lead time, payment and delivery terms, validity period, assumptions and exclusions, and an acceptance block. These items let the buyer compare quotes fairly and prevent disputes later.

How long should a quote be valid?

Thirty days is common for stable materials. Shorten it to 7 to 14 days when metals, resin or freight prices are volatile, or add a surcharge clause tied to a published index. State the period explicitly on the quote.

Should I show price breaks?

Yes. Setup and programming cost are spread over the batch, so unit cost falls as quantity rises. Showing three tiers helps the buyer choose and often wins larger orders without discounting the base price.

Is this template legally binding?

It becomes part of a contract once the customer accepts it or issues a purchase order that refers to it. This template is a starting point, so have your counsel review the terms and conditions you attach.

If quotes are built in an ERP or spreadsheet, we can automate the first draft from routing, material and rate data while an estimator keeps final approval.
