Starting point only, not legal advice. Align return windows, restocking fees and warranty terms with your sales terms and conditions. Most ERPs (SAP SD returns order, Epicor RMA, SyteLine RMA, Dynamics sales return order) let you store the RMA number on the return document, so key the number from this form there.

Automate RMA lookups from your ERP

Optional: we can show how to answer 'where is this return?' directly from your ERP data, read-only.

Optional. The tool and every export work without this. No spam.

How to use this RMA form

Enter the customer, original sales order, part, quantity and reason, then pick the resolution the customer is asking for. Export to PDF to email the customer, or to Word if you want to adjust the return instructions first. Assign the RMA number from your ERP or a controlled log so numbers are never reused. Send the form to the customer before the material ships, and keep the signed copy with the return record.

  • One RMA number per return shipment, not per customer
  • Reference the original sales order line so credit matches what was invoiced
  • State who pays return freight before the carton ships
  • Set an expiry so old authorizations do not come back months later

What a good RMA captures

The minimum useful record is who, what, how many, why and what they want. Serial or lot numbers tie the return to traceability records, which matters for aerospace, medical and automotive customers. The reason code should come from a short fixed list so you can trend returns by cause later. Keep the customer's requested resolution separate from the final disposition, because the failure analysis may change the answer, for example from credit to repair.

Connecting the RMA to your ERP

In SAP SD a customer return is usually a returns order with a delivery and a credit memo request. In Epicor, SyteLine and Dynamics there is a dedicated RMA or sales return object. Whatever the system, the RMA should reach three people: receiving, quality and whoever raises the credit or replacement order. If returns are handled in email and spreadsheets, the form above gives you a consistent record until the process is in the ERP.

Common mistakes

The usual problems are returns arriving with no RMA number, partial quantities that do not match the paperwork, and credit issued before inspection confirms the claim. Another is treating every return as a quality failure when many are ordering or shipping errors, which skews your complaint statistics. Use the reason field consistently and review it monthly.

Frequently Asked Questions

What is an RMA number?

An RMA number is a unique reference your company assigns to authorize a return. The customer writes it on the shipment so receiving can match the material to an approved return, inspect it and trigger the right credit, repair or replacement.

Should an RMA be issued before the customer ships?

Yes. Issuing the number first lets you confirm the order, check warranty or return terms, and tell the customer where and how to ship. Material arriving without authorization is hard to match and often delays the credit.

How long should an RMA stay valid?

Many manufacturers use 30 to 60 days, though your sales terms govern. A fixed expiry prevents stale authorizations and gives the customer a clear deadline. Extend case by case when a customer has a valid reason for delay.

Who should approve an RMA?

Customer service issues it, and quality usually approves any return that claims a defect. Finance should see credit requests above a set value. Keep the approval simple enough that customers are not left waiting days for a number.

If returns still bounce between email, spreadsheets and the ERP, Netray can help automate RMA intake and status lookups against your ERP data, read-only by default.
