A starting point for your own wording. Do not state a root cause as fact before it is verified, and check that your reply format matches your customer quality agreement.

Trace complaints to ERP lots and shipments

Optional: see how a read-only ERP lookup can pull the affected lots, shipments and customers for a complaint.

Optional. The tool and every export work without this. No spam.

How to use the letter

Send an acknowledgement within the time your customer's supplier manual requires, often one business day. Fill the complaint reference, summary and containment first, since these are known immediately. Choose an honest root cause status. If the cause is not yet found, say it is under investigation and commit to a date for the next update. The action table lets you attach a simple plan that you maintain until the customer closes the complaint.

  • Quote the customer's complaint number exactly
  • State containment in quantities and dates
  • Never present an unverified cause as fact
  • Always give the next update date

What a customer wants to read

Quality teams on the receiving end read for four things: did you stop further escapes, do you understand the failure, is the corrective action aimed at the cause, and how will you prove it worked. Vague phrases such as operator error or retrained staff raise concerns because they rarely address a system cause. If you are using the 8D method, this letter is the cover note for the report, and the full 8D follows when the analysis is complete. Match your customer's requested format when they have one.

Worked example

A customer reports six out-of-tolerance bores at incoming inspection. The letter acknowledges the complaint, restates it, lists the hold on 4,800 pieces and the sort under way, marks the root cause as under investigation, and commits to a full 8D in seven days. A week later, the status changes to root cause identified, and the corrective action and effectiveness plan are added to the action table before the next version is sent.

Common mistakes

Delay is the biggest one. A customer with no reply in two days assumes nothing is happening. Others include blaming the customer's process without data, promising a fix date you cannot meet, and failing to link the response to the NCR or CAPA record in your own system. Log each response against the complaint in your ERP or quality system so the commitments, dates and owners remain visible to the whole team.

Frequently Asked Questions

How quickly should I respond to a customer complaint?

Acknowledge within one business day if you can, and follow your customer's supplier manual or quality agreement, which often sets timings for containment, root cause and corrective action reports.

Should I name a root cause in the first response?

Only if it is verified. Otherwise say it is under investigation and give a date for the next update. A wrong cause stated early damages credibility more than an honest status.

Is this letter the same as an 8D report?

No. The letter is a cover response, and the 8D is the full problem solving record. Many suppliers send the letter first and attach the 8D when the analysis is complete.

Can I use this for internal complaints?

Yes. Change the recipient to the internal customer, such as the next process, and keep the same structure of containment, cause and action.

Netray can link complaint records to the ERP lots, shipments and work orders they affect, so your response always cites the correct quantities.
