Sage Pastel to Cloud ERP Migration Readiness Assessment
Many South African businesses started on Sage Pastel and outgrew it as they added branches, stock, manufacturing or a need for remote access. Moving to a cloud ERP is less about software and more about data, process and people. This assessment scores your readiness and points to what to fix first.
1. How clean is your customer, supplier and stock master data?
2. How many spreadsheets run parts of the business outside Pastel?
3. Are your business processes written down?
4. How many integrations connect to Pastel (banking, payroll, e-commerce, CRM)?
More integrations means more to rebuild and test.
5. Do you need manufacturing, warehousing or multi-branch features Pastel struggles with?
6. Who will own the project internally?
7. How well do you understand your tax and statutory needs (VAT, payroll, e-filing)?
8. How much history must be available in the new system?
9. How reliable is your internet connectivity and backup power at each site?
10. Do you have a budget and timeline agreed with leadership?
How to use the assessment
Answer the ten questions honestly, preferably with finance, operations and IT in the same room. Each answer scores zero to three. The result converts your total into a percentage and places you in one of three bands, each with specific recommendations. Run it again after closing the gaps to see progress. It takes about ten minutes and the output exports to PDF for your steering committee.
What the questions measure
The questions cover four things that decide migration outcomes: data quality, process clarity, integration complexity and organisational capacity. Data quality drives conversion effort. Process clarity drives configuration and training. Integrations drive testing and risk. Capacity drives whether the project finishes on time. Connectivity and power questions matter in markets where outages are common and a cloud system must remain usable.
Reading your band
A low score does not mean you should stay on Pastel. It means the project needs preparation, and the cost of skipping it shows up later as rework. A middle score is the most common and is workable if gaps are tracked as scope. A high score means selection and planning can start now. Whatever the result, decide on history, cut-over date and parallel running early.
Common mistakes
The usual errors are migrating all history when opening balances would do, leaving integrations until the end, picking a system on a demo without testing your own statutory scenarios, and under-resourcing internal testing. Use a scored shortlist rather than preference alone, and ask each vendor to demonstrate your VAT, multi-currency and stock scenarios with your data.
Frequently Asked Questions
Which cloud ERP should replace Sage Pastel?
It depends on your size, industry and statutory needs. Options commonly considered include Sage Intacct, Sage X3, Odoo, NetSuite, Microsoft Business Central and SYSPRO. Use the selection scorecard tool to compare them against your own weighted criteria instead of choosing on brand.
How long does a Pastel migration take?
A small, simple company can move in a few months, while a multi-branch or manufacturing business often needs six to twelve months. The main drivers are data quality, number of integrations, and how much internal time is available for testing.
Do I need to migrate all my history?
Usually not. Most companies load opening balances, open invoices and open orders, and keep older history in an archive or the old database in read-only form. Check your record retention obligations with your accountant before deciding.
Can I run Pastel and the new ERP in parallel?
Yes, and it is wise for at least one month end. It doubles work for a short time but lets you reconcile balances and catch configuration errors before you switch off the old system.
If you are moving off Pastel and need help with data extraction, integration mapping or an AI layer over the new system, Netray can work with your implementation partner.
