Assumptions and exclusions

Pricing assumes supplied drawings and STEP file are complete and current. Price assumes release in full quantity with a single delivery. Material surcharges may apply if mill prices change by more than 5 percent before order.

Not included unless stated: first article inspection report, material and process certifications, packaging beyond standard, expedited freight, design changes after release.

Terms

Payment: Net 30 on approved credit Changes to drawing, quantity or revision after quote acceptance may change price and lead time. Parts are inspected to the stated tolerance standard; any special inspection requirements must be quoted before order.

How to use the template

Fill in your company, the customer, the quote number and the part revision. Describe the material and thickness exactly as quoted and choose a tolerance standard and finish. Paste your quantity price breaks, lead time and any one-time charges. The assumptions field is the most important: record drawing status, delivery pattern, material surcharge triggers and anything excluded. Export to Word to add your logo, or to PDF to send directly.

  • Always include the drawing revision number.
  • State validity so material price swings do not bind you.
  • List exclusions such as certifications and first article reports.

Why these fields matter

Disputes over sheet metal work usually come from tolerances, finish, material substitution and partial deliveries. Naming a tolerance standard avoids debates over bend angle and linear tolerances; ISO 2768 medium and general tolerance blocks on drawings are common references, but only use what the customer drawing calls out. Naming the finish by specification or color code avoids rework. A stated validity period matters because carbon steel and aluminum sheet prices can move between quote and order.

How to read and adapt it

Treat the example as a pattern, not as law. For aerospace or defense work, add flow-down clauses, special process approvals and certification requirements. For long-run production, add a blanket order structure and price adjustment clause. Keep the exclusions list in step with what you actually include on invoices.

Common mistakes

Quoting with no revision on the part number, leaving out lead-time start conditions, and omitting a material surcharge clause are the most common. Another is listing price breaks without noting whether tooling or programming is amortized.

Frequently Asked Questions

How long should a fabrication quote be valid?

Fifteen to thirty days is common for steel and aluminum jobs. Shorten the period in volatile material markets or add a material surcharge clause. State the date and the period clearly on the quote.

Should quotes list tolerances?

Yes. State the tolerance standard or the specific values you priced to. Tight bend angles, flatness and hole position tolerances can change cost significantly, and the customer needs to know what is included.

What should be in the assumptions section?

Drawing and revision status, quantity and release pattern, material source and grade, finish specification, inspection level, delivery terms, and any item excluded such as certifications, packaging or design changes.

Can I use this for government contracts?

Use it as a basis only. Government and prime contractor work usually requires flow-down clauses, certifications and specific representation language. Have your contracts or legal adviser review before use.
