A starting point, not legal advice. Add your own payment terms, warranty, tolerance and certificate requirements, and have contract terms reviewed locally. Delete the internal cost build-up block before you send a quote to a customer.

Optional: a short conversation about moving quotes into orders and routings without re-keying.

Optional. The tool and every export work without this. No spam.

How to use the template

Fill in the customer, part number and revision, material, thickness, process and finish, then add up to three quantity breaks with their unit prices. Write the assumptions and exclusions in the text field, since this is where most disputes are avoided. The internal cost build-up block is a prompt for your estimator and should be removed or kept internal before sending. Export to PDF or Word for the customer and keep the Excel or CSV for your records.

  • Always quote against a drawing revision.
  • State who supplies the material and to what specification.
  • Show at least two quantity breaks to guide ordering.

What a sheet metal quote should cover

A complete quote covers material (including scrap), cutting or punching time, forming operations, welding or hardware insertion, finishing or outside processing, setup spread across the quantity, inspection, packaging and margin. It also states tolerances, certificates, lead time and validity. Missing items are the common source of margin loss. For repeat work, the cost build-up gives a consistent structure so two estimators price the same part in the same way.

  • Material, cutting, forming, finishing and setup as separate lines.
  • Outside processing priced from a current vendor quote.
  • Lead time tied to order approval, not quote date.

Pricing by quantity

Unit price falls with quantity because setup, programming and first article work are spread over more parts, and because nesting improves. Use the laser cutting cost and nesting yield calculators on this site to estimate each element, then enter the prices at your chosen breaks. Many shops add a minimum order charge for small runs. Keep a record of quoted versus actual cost after each job to improve the next estimate.

  • Quote breaks where setup effect flattens.
  • Add a minimum order value for very small quantities.

Common mistakes

Quoting without a drawing revision, leaving out outside processing lead time, forgetting that material prices move, and not stating what happens if quantities change are the common problems. Set a short validity period when material is volatile. If you use an ERP, link the quote to the item, routing and revision so that an accepted quote becomes a sales order with the same assumptions.

  • Tie validity to material price volatility.
  • Convert accepted quotes into orders without re-keying.

Frequently Asked Questions

What should be on a sheet metal fabrication quote?

Customer and part details with revision, material and thickness, process and finish, unit price by quantity, lead time, validity, assumptions and exclusions, and any inspection or certificate requirements. Clear assumptions prevent most later disputes.

How do I price small quantities?

Spread setup, programming and first article inspection over the actual quantity, and add a minimum order value. A single piece can cost many times the unit price of a hundred, so show quantity breaks.

Should material price be fixed in a quote?

Only for a short validity period, or state that material is surcharged to the price at order. Metal prices move, and long validity with a fixed price transfers the risk to the fabricator.

Can I use this as a contract?

No. It is a quotation format and a starting point. Payment terms, warranty, liability and other contract clauses should be added and reviewed according to your local requirements.

If quotes are rebuilt in spreadsheets and re-keyed into the ERP, Netray can help connect estimating to your item, routing and order data, with on-prem options for sensitive customers.
