Tally Data Backup Checklist
Tally data sits in files on a PC or server, so one failed disk, power cut or ransomware event can stop an accounts department. This checklist covers the backup routine, offsite copies, restore tests and corruption prevention that keep a Tally company recoverable.
0 of 30 items complete
9 critical items still open - these are the highest-risk gaps.

Backup routine
Offsite and cloud copies

Prevent corruption
A backup you have never restored is only a hope. Treat the restore test items as the most important on the list.
Data protection review
Tell us how your accounting data is stored and backed up, and we will suggest practical improvements before a failure forces them.

How to use this checklist
Walk through it with whoever owns your IT and your accounts. Fix critical items first, particularly the offsite copy and the restore test. Save the completed list as evidence for auditors, lenders and insurers, and repeat it each quarter. If you run several companies or branches, assign one owner per location so nothing is assumed.
What a good routine looks like
A reliable approach is a daily backup to a separate drive, a weekly copy to the cloud or an external disk stored away from the office, and permanent year-end copies. Backups should be dated and never overwritten. TDL files and licence details matter as well, since you will need them to bring the system back exactly as it was.
- Daily: backup to a second drive
- Weekly: offsite or cloud copy
- Before risky tasks: manual backup
- Year end: permanent archive with the auditor's figures
Restoring and repairing
Restore tests prove the backup works. Restore into a separate folder or machine, open the company and compare trial balance, stock summary and a few vouchers with the source. If a company will not open, do not run repair on the only copy. Duplicate the data folder first, try repair on the copy, and fall back to the latest good backup if the repair loses entries.
Common mistakes
The usual failures are backups saved to the same drive as the data, a single pen drive that is never checked, backing up while users are still posting, and never testing a restore. Some firms also forget that loss of a day of entries means rekeying from paper. Decide how much data you can afford to lose and set the schedule accordingly.
Frequently Asked Questions
How often should I back up Tally data?
At least daily if you post entries daily, plus a manual backup before bulk imports, edits or data split. Keep weekly offsite copies and permanent year-end archives.
Where does Tally Prime store its data?
In the data folder configured in Tally, on the local drive or a server. Check the path in the product's data configuration for your installation, and note that each company is a folder of files.
Can I back up Tally to Google Drive or OneDrive?
Yes, copy the backup file to a synced cloud folder, but do not run live data from a sync folder because partial syncs can corrupt files. Back up first, then copy the finished file.
What should I do if Tally data is corrupted?
Stop using it, copy the data folder as it is, try the repair option on the copy, and if that fails restore the latest good backup. Contact your Tally partner for serious cases.
