How to use this checklist

Use it once when you create a company or change financial year, and again each month before filing returns. Critical items are the ones that most often cause notices, input credit loss or rejected e-invoices. Export the completed list as evidence for your auditor or GST consultant. If you manage several companies, keep one copy per GSTIN.

Why masters matter most

In Busy, GST is driven by party state, item tax category and voucher type. If the party master has the wrong state or registration type, tax splits incorrectly on every invoice. If the item has the wrong HSN or rate, GSTR-1 HSN summary and tax values are wrong. Fix masters first and most return problems disappear.

  • Party GSTIN and state decide IGST versus CGST plus SGST
  • Item HSN and tax category decide rate and summary
  • Voucher series decides invoice number compliance
  • Registration type decides reverse charge and composition handling

Reconciling returns

Before filing GSTR-3B, compare the sales register to GSTR-1 and the purchase register to GSTR-2B. Differences usually come from invoices posted in the wrong month, suppliers who have not filed, credit notes missed, or ineligible credit not separated. Investigate each difference by invoice number rather than adjusting a total, since totals hide offsetting errors.

Common mistakes

Frequent errors include keeping default tax categories for all items, using one ledger for all input tax, entering e-way bill details after the goods have moved, and filing before reconciling with GSTR-2B. Another is not backing up before importing or bulk editing. Keep a monthly routine and the checklist becomes a five minute review.
