Vendor Invoice Layout Registry Worksheet

Template-based capture and AI extraction both behave differently per supplier. A simple registry shows where your volume sits, which layouts are covered, and where work is still needed.

Prioritise vendors with high volume and status Not started or Needs rework. Re-review layouts at least yearly, since suppliers change their invoice template without notice.

Skip the per-vendor template work

Optional: a short review of your vendor mix and where layout-free extraction would remove the most effort.

Optional. The tool and every export work without this. No spam.

How to use the registry

List suppliers by volume, starting with the ones that send the most invoices. Record format and language, because scanned Chinese invoices and XML e-invoices need very different handling. Set a capture status for each vendor and a review date. Sort by monthly line volume to decide which vendor to fix first, since line items cost far more to key than headers.

Status definitions

Use the same meanings across your team. Not started means no template or training sample exists. Template built means a configuration exists but has not been tested against real documents. Tested means a sample set was checked for accuracy. Live means the vendor posts with the expected rate of touchless invoices. Needs rework means exceptions have risen after a layout change.

  • Keep five to ten sample invoices per vendor
  • Record the date of the last layout change
  • Note whether the vendor sends credit notes in a different layout

Regional and ERP considerations

Suppliers in India, China, the Middle East and Africa may mix scripts, local tax fields and handwritten stamps. Add a column for the local tax number format if your ERP validates it, such as GSTIN in India. In SAP, Oracle, Infor and Epicor the vendor ID in this sheet should match the vendor master key so exports can be joined to AP data.

Common mistakes

The registry fails when it is built once and never updated. Assign an owner and review monthly. Another mistake is tracking suppliers by name only, which breaks when the same vendor has several remit-to entities, so use the ERP vendor ID as the key.

Frequently Asked Questions

Do I need a registry if I use AI extraction?

Yes, still useful. Even without templates you need to know which vendors produce low accuracy, which formats appear, and where to focus review. The registry becomes a monitoring list rather than a configuration list.

How many sample invoices per vendor?

Five to ten recent invoices usually cover the normal variation, including a credit note and a multi-page invoice if the vendor sends them. Use more samples for vendors with several remit-to entities.

What is monthly line volume?

It is invoices per month multiplied by average lines per invoice. It estimates how many line items must be captured, which is the main driver of effort for goods invoices with PO line matching.

How often do layouts change?

Suppliers change layouts when they upgrade accounting software or merge entities, often without notice. A monthly review of exception counts by vendor is the practical way to catch this.

Netray builds extraction agents that adapt to layout changes without a template per vendor. We can show how this would work with your ERP vendor master.
