Vendor Invoice Submission Requirements Letter Template

Invoice Submission Requirements

Acme Precision Ltd Date: 2026-10-20 To: Northfield Metals Inc Effective: 2026-12-01

Purpose

To pay you accurately and on time, Acme Precision Ltd reads incoming invoices with automated document capture. Invoices that follow the points below are processed without manual keying. Invoices that do not may be returned or delayed.

Requirements

1. Send invoices only to invoices@example.com. Invoices sent to individual buyers or engineers may not be processed.

2. File format: PDF (text based). Please do not send photos, screenshots or password protected files.

3. One invoice per file. Do not combine several invoices or attach statements in the same file.

4. PO number mandatory on every invoice. Print the PO number and the PO line number next to each billed line.

5. Show your legal name and remit-to details exactly as registered with us. Tell us in writing before you change bank details.

6. Show invoice number, invoice date, currency, net amount, tax amount and total as separate, labeled values.

Supporting documents

Where the purchase order requires a certificate of conformance, material certification or test report, send it as a separate file in the same email and quote the PO number in the file name or subject line.

Payment terms

Standard terms are Net 45 from invoice receipt. The clock starts when a complete and readable invoice is received at the address above.

Acknowledgement

Supplier representative / Date
Date acknowledged / Date
{{company}} AP manager / Date

This is a starting point, not legal advice. Check the wording against your purchase order terms and local invoicing rules, such as mandatory e-invoicing, before you send it.

Handle messy invoices without a rulebook

Optional: see how a private on-prem agent reads varied supplier formats and posts drafts for approval.

Optional. The tool and every export work without this. No spam.

How to use the template

Fill in your company, the shared invoice inbox, the effective date and your PO rule, then export to PDF or Word. Send it to your top suppliers by invoice volume first, because a small number of vendors usually produce most of your exceptions. Give at least thirty days notice before you start returning non-compliant invoices, and keep the signed acknowledgement with the vendor record.

Why these rules matter to OCR

Text-based PDFs keep exact characters, so extraction does not depend on image quality. One invoice per file avoids page-splitting errors. A visible PO number allows automatic matching to the order, which is the step most likely to fail in a three-way match. Separate labeled amounts avoid confusion between net, tax and total, the most common cause of wrong values after capture.

Adapting for regions and ERPs

Some countries require structured e-invoices, such as India GST e-invoicing, Italy SDI or Mexico CFDI, and then a PDF rule is secondary. If you run SAP, Oracle, Infor or Epicor, keep the inbox mapped to the capture solution that creates the invoice in the ERP, and state clearly whether the supplier must quote the ERP order number or the customer reference.

Common mistakes

Letters often fail because they are too long, so keep it to one page. Do not ask for formats the supplier cannot produce, and offer an alternative such as a portal for small vendors. Finally, enforce the rule consistently, otherwise suppliers learn that it is optional.

Frequently Asked Questions

Can I force suppliers to follow these rules?

You can set the rules in your purchase order terms and payment process, but enforcement is a business decision. Many companies start with a notice period and a warning, then return non-compliant invoices once the supplier has acknowledged the rules.

Is a PDF better than a scan?

Yes, a text-based PDF exported from the supplier's system keeps exact characters and reads more reliably than a scanned image. Scans are accepted by most engines but have more errors, especially with stamps and skew.

Should I ask for the PO line number?

Yes, if you match at line level. A PO number alone often matches the header only, and line numbers let the system compare quantity and price line by line during a three-way match.

Does this replace supplier onboarding?

No. It complements onboarding by setting invoice expectations. Bank details, tax registration and contacts should still be collected and verified during vendor setup.

Netray can build a private capture agent that reads whatever suppliers send and writes drafts into your ERP for approval, so the letter becomes a nice-to-have rather than a gate.
