Waste Tracking Log Template with Diversion Rate
Auditors, customers and regulators all ask the same question: where did the waste go and can you prove it. This log keeps one row per pickup, with the weight, route and paperwork number, and calculates your landfill diversion rate as you add data.
| Date | Waste stream | Classification | Container | Weight (kg) | Disposal route | Diverted from landfill (1 yes, 0 no) | Diverted kg | Hauler or facility | Manifest or ticket no. | |

Hazardous waste classification and manifest requirements depend on your jurisdiction and generator status. Treat this as a record keeping aid and follow your permit and local regulation for retention periods.

How to use it
Add a row each time a hauler collects or a container is closed out. Enter the date, stream, classification, container type, weight from the scale ticket, disposal route and the ticket or manifest number. Mark diverted as 1 for recycling, reuse or recovery and 0 for landfill or incineration without recovery. The totals and diversion rate update, and you can export to Excel for monthly reports.
- Weigh or use the hauler scale ticket, not estimates
- Keep manifest copies with the log row
- Separate streams the way your contractor does
- Review the log monthly with the hauler invoices
The method behind it
Waste records support several requirements at once: ISO 14001 operational control and monitoring, hazardous waste generator rules, extended producer responsibility reporting and corporate sustainability targets. Diversion rate is the weight not sent to landfill divided by total weight. Many programmes apply a hierarchy that prefers prevention, reuse and recycling over recovery and disposal, so tracking the route matters as much as the weight.
Reading the result
Look at which streams dominate by weight and by cost. A high diversion rate can hide a large volume of hazardous waste, so also watch the hazardous total on its own. If general trash is the largest landfill item, a sorting audit of the dumpster often finds recyclable cardboard, wood and metal. Compare month to month against production output rather than looking at raw weight.
Common mistakes
Frequent faults are estimating weights, mixing streams that need separate handling, forgetting universal waste such as lamps and batteries, losing the signed manifest, and counting incineration without energy recovery as diversion. Reconcile the log with invoices at least quarterly so missing pickups show up quickly.
Frequently Asked Questions
How do I calculate the diversion rate?
Divide the weight sent for recycling, reuse or recovery by the total waste weight, then multiply by 100. Decide in advance whether energy recovery counts as diversion and apply the same rule every period.
How long should I keep waste records?
Retention depends on jurisdiction and waste type. Hazardous waste manifests are often kept for several years, commonly at least three. Check your permit and local regulations, and keep ISO 14001 records for your certification cycle.
Should scrap metal be in the waste log?
Yes, if you want a complete material flow. Mark it as scrap metal with a recycle route so it counts as diverted. Many plants also track it separately because it has resale value.
What is a waste stream?
A waste stream is a distinct type of waste with its own handling and disposal route, for example used coolant, solvent rags, cardboard or general trash. Keeping streams separate makes reporting and cost control easier.
If waste is posted as scrap transactions in your ERP, Netray can reconcile those with this kind of log and flag streams that rise faster than production.
