WhatsApp Template Delivery to Reply Funnel Calculator

Teams that wire WhatsApp into an ERP for order updates, delivery notices or supplier reminders usually know what they send but not what comes back. This calculator walks the funnel from sent to delivered to read to replied and prices each reply.

How to use the funnel calculator

Enter monthly volume, then the three conversion rates from your own delivery receipts. Most providers and the WhatsApp Business Platform webhooks report sent, delivered and read statuses per message, so you can export real percentages from a month of data instead of guessing. Reply rate comes from inbound messages or button payloads matched to the template ID. The sweep chart shows how cost per reply changes as read rate moves, which tells you whether template wording or send time is worth tuning.

  • Pull delivered and read counts from webhook status events
  • Count a button tap as a reply when it triggers a workflow
  • Use one category at a time because rates differ

The formulas behind it

Delivered equals sent times delivery rate. Read equals delivered times read rate. Replies equal read times reply rate. Monthly charge equals delivered messages times the per message rate, because the platform bills on delivered template messages. Cost per reply is the charge divided by replies, and end to end response is replies divided by sent. If delivery rate is 94 percent, read 70 percent and reply 25 percent, about 16 percent of sent messages produce a reply.

Reading the result and common mistakes

A high cost per reply is not always a pricing problem. It often points to stale phone numbers in the ERP customer or vendor master, templates sent outside working hours, or messages that need no reply at all. Utility notices rarely need replies, so judge them on delivery, not response. Do not compare marketing and utility campaigns in one run.

  • Do not mix categories with different rates
  • Clean phone numbers in E.164 format before the run
  • Do not treat unread messages as failures for informational templates

Frequently Asked Questions

Is the delivery rate the same as the sent rate?

No. Sent means your system handed the message to the platform. Delivered means it reached the recipient device. Billing and this funnel use delivered, so use delivered status events when you measure the rate.

What is a good WhatsApp read rate?

It depends heavily on audience and category. Operational notices to known contacts often read much higher than promotional messages. Use your own first month as the baseline, then test one change at a time.

Can I use this for utility templates?

Yes. Set reply rate low or use button taps as replies. For pure notifications, focus on delivery rate and total charge rather than cost per reply.

Does it include conversation based pricing?

No. It uses one charge per delivered message. If your plan still uses another model, enter an average blended charge per delivered message.

If your WhatsApp templates are fired from ERP events and you want delivery and reply data written back to the order or vendor record, Netray can build that integration on your own infrastructure.
