How to use the calculator

Start with a realistic monthly volume for each category. Count order confirmations, shipment notices, payment reminders and approval requests as utility, promotions as marketing, and one-time passcodes as authentication. Enter the per-message rates from Meta's rate card for your main recipient country, then set the share of utility messages that go out inside an open customer service window, where they are not billed. Add any markup and monthly fee from your solution provider. The chart shows how total cost scales as utility volume grows.

The formula

Monthly cost is the sum of three category costs plus provider charges. Marketing cost is volume times marketing rate. Utility cost is volume times one minus the free share, times the utility rate. Authentication cost is volume times its rate. Provider charges are billable messages times markup, plus the platform fee. Service conversations that a customer starts and you reply to inside the window are not modeled because they carry no template charge today. If your recipients span several countries, run the tool once per country and add the results.

Reading the result and common mistakes

Most manufacturers find that utility alerts are the bulk of volume but marketing is the bulk of cost. Teams often forget retries, duplicate sends from webhook replays, and messages to numbers that never opted in, all of which add spend or risk quality ratings. Budget a buffer on top of the estimate.

  • Do not apply one rate to all countries
  • Do not assume every utility message is free
  • Deduplicate webhook retries before sending
  • Re-check the rate card each quarter

Frequently Asked Questions

Is WhatsApp Business API free?

Connecting to the Cloud API has no licence fee, but template messages are billed per message by category and country. Replies inside an open customer service window are not billed as templates.

Why is marketing so much more expensive than utility?

Meta prices categories differently, with marketing set highest because it is promotional. Keeping transactional alerts correctly classified as utility is therefore a direct cost lever.

Does the calculator include taxes?

No. Add applicable taxes such as GST or VAT on top of the result, since they depend on your billing entity and your provider's invoice.

Where do I find my current rates?

Meta publishes a pricing page and downloadable rate card for the WhatsApp Business Platform by market. If you use a solution provider, check their invoice terms as well.

If you are deciding whether alerts from your ERP belong on WhatsApp, Teams or email, Netray can help map events to channels and estimate the build.
