SPS Commerce + ERP AI
AI for SPS Commerce: EDI Order, ASN and Chargeback Questions Answered From Your ERP
Short answer
AI for SPS Commerce joins the EDI documents flowing through the SPS network (850, 855, 856, 810, 997) with the sales orders, shipments and invoices in your ERP, so an EDI analyst can ask why an order failed, which ASNs will trigger a retailer chargeback, or where an invoice is stuck. It runs privately next to your ERP and reads exported or API-fed EDI data without writing back.

If you sell into large retailers, SPS Commerce is probably the pipe between their purchasing systems and your ERP. Purchase orders arrive as X12 850 documents, you answer with 855 acknowledgments, ship with an 856 advance ship notice, and bill with an 810 invoice. Every one of those documents is checked against the retailer's own routing guide and vendor compliance manual, and every miss can become a fee.
The people who understand this are usually two or three EDI analysts and a customer service lead. They know that a Walmart-style ASN needs a specific SSCC-18 label structure, that a missing HL loop makes the 856 reject, and that a price mismatch between the 850 and your ERP order line will hold up the 810. That knowledge sits in their heads and in spreadsheets, while the evidence sits in three places: the SPS portal, your ERP and your carrier system.
Typical questions are cross-system. Which open 850 lines have no matching ERP sales order line? Which shipments went out last week without a 856 acknowledgment (997) from the retailer? Which chargeback notices this quarter trace to the same ship-to or the same packaging mistake? Answering them today means exporting from SPS, opening the ERP, and joining the data by hand.
This page explains how a private AI layer can sit beside SPS Commerce and your ERP, what data it needs, what it should never be allowed to do, and where SPS's own analytics and scorecard tools are already enough and you should not pay for anything extra.
What usually gets in the way
The problems we hear most from edi manager teams running SPS Commerce.
Chargebacks are discovered after the fact
Retailer fees for late ships, ASN errors, label defects or wrong carton content arrive weeks later as deductions. By then the pallet has moved and root cause analysis is a forensic exercise across SPS, ERP and WMS.
850 to ERP mismatches stall orders
Price, unit of measure, ship-to or item cross-reference differences between the inbound 850 and the ERP order line cause manual holds. Analysts retype or override, and the same mismatch repeats on the next PO because the cross-reference table was never fixed.
Every retailer has its own rulebook
Routing guides and vendor compliance manuals differ on label format, ship windows, ASN timing and carton rules. New staff take months to learn which retailer wants what, and the manuals are long PDFs nobody can search well.
Three-way visibility is manual
The question 'did we ship, did they acknowledge, did we invoice' spans the SPS portal, the ERP shipment and invoice tables, and the retailer's acknowledgments. There is rarely one report that answers it.
Onboarding a new trading partner is slow
Each new retailer needs mapping specs, test documents and sign-off. Translating the retailer's implementation guide into an ERP field mapping is repetitive work done by whoever has the free hour.
Where AI earns its place in SPS Commerce
Each use case names the ERP objects it reads or writes, so your ERP team can judge the integration effort before anyone commits budget.
Order reconciliation between 850 and ERP
Ask which inbound purchase orders have lines that do not match the ERP sales order on price, quantity, UoM or ship-to, and get a list with the exact differing fields.
Touches: ERP sales order header and line tables, customer item cross-reference, ship-to address records, X12 850 PO1 and N1 segments
Outcome: Mismatch triage moves from a daily export-and-join exercise to a question; the fix list is ready before the order hold ages.
Pre-ship ASN risk check
Before the 856 is sent, compare the shipment to the retailer's rules held in your own document store: label type, ship window, carton count against ERP pack data.
Touches: ERP shipment and packing tables, SSCC-18 label records, carrier pickup data, 856 HL loop structure
Outcome: Fewer avoidable ASN rejections and compliance fees, with the biggest gain on retailers whose rules are strict and rarely re-read.
Chargeback pattern analysis
Load deduction notices and ask which causes, ship-to locations or product lines recur, and which are disputable.
Touches: Chargeback and deduction notices, ERP shipment dates, invoice and cash application records
Outcome: Recurring causes get a process fix instead of repeated write-offs; dispute packets assemble from linked evidence.
Functional acknowledgment tracking
Find documents sent without a 997 or with a rejected status and see which ERP transaction they belong to.
Touches: 997 acknowledgment records, 855 and 856 transmission logs, ERP order and shipment status fields
Outcome: Silent transmission failures surface the same day rather than at month-end reconciliation.
Compliance manual Q&A
Ask a retailer's routing guide questions in plain English and get the paragraph that answers it, cited by page.
Touches: Retailer routing guides, vendor compliance manuals, implementation guides held as documents
Outcome: New analysts become productive faster; fewer repeat questions to the senior EDI person.
Invoice hold diagnosis
Explain why an 810 has not gone out or was rejected: missing shipment confirmation, price variance, or tax detail.
Touches: ERP invoice staging, shipment confirmation, 810 BIG and IT1 segments
Outcome: Days sales outstanding on retail receivables improves where holds were caused by avoidable data gaps.
Trading partner onboarding assist
Draft a field mapping from a retailer's implementation guide to ERP fields for an analyst to review.
Touches: Implementation guide PDF, existing map definitions, ERP customer and item master fields
Outcome: A reviewable first draft in minutes; the analyst still tests and signs off every map.
Reference architecture
A read-only AI layer sits beside the ERP and receives SPS data through the channels SPS already supports for your account: scheduled file exports, SFTP drops or the ERP-side document tables. Nothing in SPS is modified, and any proposed correction goes to the analyst for approval.
- 1
Data intake
Scheduled ingestion of EDI document copies and portal exports into a private store, plus read-only access to ERP order, shipment and invoice tables or views.
- 2
Document index
Retailer routing guides, vendor manuals and implementation guides chunked and indexed for citation, kept separate from transactional data.
- 3
Query and reconciliation engine
Translates questions into parameterized queries over the joined EDI and ERP data and shows the query alongside the answer.
- 4
Private model serving
An open-weight model on vLLM or Ollama on your hardware or private cloud, so order, price and trading partner data stay in your boundary.
- 5
Approval and audit
Draft mappings or corrections are queued for human review; every question, query and result is logged.
Integration notes for your ERP team
- Confirm with your SPS account team which export or API options are enabled for your account, since available data paths vary by service and plan.
- Use a read-only ERP database role or a reporting replica; avoid pointing any model at the production order entry path.
- Join keys are usually the retailer PO number, the ERP order number and the ship-to GLN or store number. Agree these with the EDI team first.
- Keep 997 and acknowledgment logs in the same store as the 856 and 810 copies so the sent, acknowledged, invoiced chain is queryable.
- Index each retailer's routing guide as a separate collection with version dates, since guides are revised and old answers must be traceable.
- Mask unit price in outputs for roles that should not see customer-specific pricing.
Deployment options
On-prem with ERP
Manufacturers who already host the ERP and want customer pricing kept internal
GPU server in your data center with a read-only ERP database account and a scheduled SPS export folder.
Private cloud tenant
Teams on a cloud ERP with no data center
Dedicated VPC with private networking to the ERP API and an inbound SFTP landing zone for SPS exports.
Document-only pilot
Teams that want to test value before touching ERP data
Start with routing guide Q&A and chargeback pattern analysis on exported files, then add ERP joins.
Compliance and data control
How the architecture supports your obligations. Certification and accountability stay with your organisation; the design keeps the evidence straightforward.
Retailer vendor compliance programs
These are contractual and set by each retailer. The assistant cites the guide text you load; it does not interpret rules beyond what the document states.
ANSI X12 transaction standards
Questions about segments and loops are answered against the retailer's implementation guide, which defines the exact subset they accept.
SOX relevance for invoicing
Read-only access and full query logging support audit trail needs; the AI never posts or edits invoices.
Customer pricing confidentiality
Prices and terms per retailer stay on infrastructure you control, with role-based filtering matched to your ERP roles.

Questions to ask any vendor, including us
A short list that separates real SPS Commerce AI work from a chatbot demo.
- Which SPS data paths are available to us, and can we automate extraction without manual portal exports?
- Will any EDI or order data be sent to an external model service, and can this run fully on our hardware?
- How does the system handle two retailers with conflicting rules for the same carton?
- Can it show the exact query behind a reconciliation answer so an analyst can verify it?
- What happens when a routing guide is revised? How are old answers versioned?
- Who approves any suggested map or correction before it touches production?
- How is customer-specific pricing protected from users who should not see it?
- What accuracy threshold must the pilot reach before we expand?
Frequently asked questions
Does Netray connect directly to the SPS Commerce network?
Only through paths your SPS account already supports, such as scheduled exports, file drops or the document copies your ERP stores. We do not bypass the network or alter trading partner setups. The first discovery step is confirming which data paths are enabled for your account, since options vary by service and plan.
Can AI prevent retailer chargebacks?
It can reduce avoidable ones by checking shipments against the rules in the retailer's own guide before the ASN goes out, and by showing which causes recur. It cannot remove chargebacks caused by carrier delays, retailer errors or rule ambiguity, and every flagged item needs an analyst decision.
Is SPS Commerce's own analytics enough?
For scorecards and fulfillment performance across retailers, often yes, and you should start there. A private AI layer adds value when the question needs ERP data too, such as matching an 850 line to a sales order or tracing a deduction to a specific shipment.
Will the AI send or edit EDI documents?
No. The default is read-only. Draft mappings or suggested corrections are placed in a review queue for an analyst. Any write path to the ERP or SPS would be a separate, explicitly approved scope with human sign-off on each action.
Which ERPs work with this?
Any ERP that exposes order, shipment and invoice data through SQL views, APIs or exports. We have worked from the data models of Infor SyteLine, NetSuite, M3 and SAP, among others. The join logic is the same; only table and field names change.
Where does the model run?
On your infrastructure or in a private cloud tenant, using open-weight models served with vLLM or Ollama. Order data, prices and trading partner details are not sent to a public model API.
How long before an EDI analyst sees value?
Document Q&A on routing guides can be useful within a few weeks. ERP reconciliation takes longer because join keys and access need agreement, typically one to two months to a trusted pilot, depending on your ERP's data access.
