EDI Retailer Chargeback Exposure Calculator
Retail and OEM customers fine suppliers for late or wrong ASNs, label errors and invoice mismatches, and the fines are easy to underestimate because they arrive as deductions. This calculator estimates the real annual exposure and what a fix is worth.
Your numbers
Shipments that require an ASN or compliant label for compliance-driven customers.
Used for percent-of-value penalties.
Share of shipments with a late, missing or wrong ASN, label or invoice.
From the customer routing guide or vendor compliance manual.
Some customers charge a percent of the invoice value. Use 0 if none.
Share of chargebacks you successfully dispute and recover.
Expected reduction after correcting the root causes.
Mapping changes, scanning, label printing and project hours.
Your results
Use the actual fine schedule from each customer routing guide. Penalties, caps and grace periods differ by customer and change over time.
Chargebacks by non-compliance rate
Sweeps Non-compliance rate from 0 to 20, holding your other inputs fixed.
Trace chargebacks to their root cause
Share a sample of deductions and we will outline how to link each one to the ASN or label that caused it. Optional.
Optional. The tool and every export work without this. No spam.
How to use it
Export last quarter of deductions and shipments from your AR and shipping data, then compute the share of shipments that drew a chargeback. Enter that as the non-compliance rate, the flat fine and any percent-of-value penalty from the routing guide, and the share you successfully dispute. The tool returns gross and net monthly loss and the payback of an EDI or labeling project.
- Use actual deductions, not the fine schedule, to calibrate the rate
- Separate ASN timing errors from label errors and price mismatches
- Enter 0 for percent-of-value if the customer uses flat fines only
Formula and logic
Violations equal shipments times the rate. Gross chargebacks equal violations times the flat fine plus shipment value times the percent penalty. Net loss multiplies by one minus the dispute win rate. Saving after a fix applies the expected reduction to net loss, and payback divides the project cost by that monthly saving. The chart sweeps the rate so you can see the cost of each extra point of non-compliance.
Where violations usually come from
The common root causes are ASN sent after the truck leaves, carton or pallet counts that do not match the 856 hierarchy, SSCC labels that do not scan, quantity or price differences between 850 and 810, and wrong ship-to or routing data. Many are mapping or process defects that repeat, which is why the reduction from a fix is often large once the pattern is found.
Common mistakes
Do not count only the invoice deductions: add the time your team spends researching and disputing each one. Also avoid assuming a high dispute win rate unless you have proof of delivery and ASN timestamps on file. Customers usually deny disputes without evidence, so keep transmission logs and 997 acknowledgments.
Frequently Asked Questions
What triggers most EDI chargebacks?
Late or missing ASNs, ASN data that does not match the physical shipment, unscannable labels, and invoices that differ from the purchase order are the usual causes. Each customer defines its own rules in its routing guide, so read it carefully.
How do I find my non-compliance rate?
Divide the number of shipments that received a compliance deduction by total shipments to that customer over the same period. Pull deductions from remittance advice or the customer portal, and match them to shipment numbers.
Can disputes really recover chargebacks?
Sometimes. Disputes succeed when you can show an on-time ASN transmission, a 997 acceptance, or a carrier delay outside your control. Win rates vary widely by customer, so use your own history instead of a benchmark.
Does this include internal labor cost?
No. It covers only the deductions and the fix cost. Add research and dispute labor to the monthly loss if you want a fuller picture, since it can be a meaningful share of the total.
If you want chargebacks traced to the shipment, ASN and label that caused them, we can build that report over your ERP data on your own infrastructure.
