SYSPRO + food safety AI

AI for SYSPRO in Food and Beverage: Lot Trace, Expiry and Yield Answers Without Leaving Your Network

Short answer

AI for SYSPRO in food and beverage connects a private language model to SYSPRO's SQL Server database and e.net business objects so quality, planning and plant teams can ask lot trace, expiry, allocation and yield questions in plain English and get answers grounded in live data. It runs read-only by default, shows the query it ran, respects SYSPRO operator roles and can be hosted on your own servers so recipes and supplier terms stay inside your network.

Food and beverage plants run on a different clock than most manufacturers. Raw materials arrive with a supplier lot and an expiry date, get consumed into batches in hours rather than weeks, and leave as finished goods that must be traceable one step back and one step forward. SYSPRO holds all of that in its lot, bin, warehouse and work-in-progress tables, but getting a straight answer out of it at 6 a.m. during a customer complaint is rarely quick.

Most SYSPRO food customers have the same handful of questions that recur daily. Which finished lots consumed this ingredient lot? What is expiring in the next 14 days and where is it sitting? Are we allocating oldest-expiry first, or are sales orders pulling whatever the picker finds? Why did yield on line 3 drop this week? Each one is answerable from data you already own, but each one usually needs a report writer, an analyst or a long afternoon in the inquiry screens.

Public chatbots are the wrong tool for this. Recipes, formulations, customer-specific specs and supplier pricing are the crown jewels of a food business, and many retailers and co-manufacturing customers restrict where that data may go. A private model that sits next to SYSPRO, reads only what the connecting role is allowed to read, and shows exactly which tables it touched is a much easier conversation with your quality director and your IT lead.

This page describes what that looks like on SYSPRO specifically: the data it reads, the questions it answers well, where it should not be trusted, and how it supports the traceability and food safety obligations you already carry under FSMA, SQF or BRCGS without claiming to certify anything for you.

What usually gets in the way

The problems we hear most from plant manager teams running SYSPRO 8.

Recall drills take hours, not minutes

A mock recall requires walking supplier lot to production batch to finished lot to customer shipment. In SYSPRO that means several inquiry screens or a custom report, and the answer often depends on whoever remembers which one to open. Auditors measure the time, and slow drills expose process risk.

Expiry and FEFO discipline erode quietly

Stock sitting in several bins with different expiry dates is easy to mis-pick. Without a fast view of expiry by warehouse, bin and customer shelf-life requirement, write-offs accumulate before anyone sees the pattern.

Yield and variance explanations are manual

Planners see a variance between theoretical and actual consumption but have to pull job, bill of materials and issue data separately to find whether the cause was scrap, over-issue, a substitute ingredient or a bad count.

Customer and retailer specification checks

Retailers ask for maximum age at dispatch, allergen declarations and country-of-origin statements. Answering from item masters, supplier records and attached documents is slow and inconsistent across shifts.

Tribal knowledge about the SYSPRO setup

Custom fields (UDFs), form designer changes and local conventions for lot numbering mean new quality coordinators and planners cannot self-serve and keep interrupting the two people who understand the configuration.

Where AI earns its place in SYSPRO 8

Each use case names the ERP objects it reads or writes, so your ERP team can judge the integration effort before anyone commits budget.

Forward and backward lot trace in one question

A quality coordinator types the supplier lot of an ingredient and receives the production batches that consumed it, the finished lots produced, and the customers and shipment dates affected, with the lot movement rows listed as evidence.

Touches: SYSPRO lot traceability tables (lot detail and lot transactions), WIP job material allocations, sales order dispatch and invoice lines

Outcome: Mock recall trace time typically drops from hours of screen-hopping to minutes of review, with the human still confirming the list before any action.

Expiry and short-dated stock watchlist

Planners ask for all lots expiring within a window, grouped by warehouse and bin, with open sales order demand that could consume them first.

Touches: Inventory warehouse and bin balances, lot expiry dates, sales order details, inventory movements

Outcome: Earlier visibility of short-dated stock, so promotions, rework or donations are decided before write-off rather than after.

FEFO allocation exception review

The agent flags sales order allocations where a newer-expiry lot was allocated while an older lot with sufficient quantity sat in stock.

Touches: Sales order allocations, lot expiry dates, bin stock, dispatch notes

Outcome: A weekly exception list that supervisors review, reducing avoidable expiry loss without changing how SYSPRO allocates.

Yield variance explainer

A production manager asks why a batch consumed more flour or fruit concentrate than the formula. The agent compares job material issues, scrap postings and bill of materials quantities and proposes likely causes.

Touches: Work in progress jobs, job material issues and returns, bill of materials structures, scrap and by-product postings

Outcome: Variance review that used to need an analyst becomes a conversation, with every figure traced to a job number.

Supplier lot quality history

Buyers ask which suppliers had the most rejected or held receipts this quarter, with the inspection reasons and affected items.

Touches: Purchase order receipts, goods received notes, quality inspection records, supplier master

Outcome: Evidence for supplier review meetings assembled in minutes instead of a day of exports.

Specification and allergen lookup

Customer service asks whether an item contains a given allergen or what the declared origin is, answered from item attributes and attached specification documents with the source cited.

Touches: Stock code master, user-defined fields, attached documents and specification sheets (via DataRay or retrieval index)

Outcome: Consistent answers across shifts, with a clear flag when the data is missing rather than a guess.

Sales and demand narrative for planners

Planners ask which customers drive demand swings for a seasonal SKU and how safety stock compares to actual cover.

Touches: Sales order history, inventory balances, MRP planned orders, customer master

Outcome: Faster weekly planning prep; forecasting itself stays in your planning tools or a purpose-built model.

Reference architecture

The assistant is a thin, auditable layer between people and SYSPRO. A private model translates a question into approved read queries, the queries run under a restricted identity, and the answer is composed only from returned rows with the query displayed for review.

  1. 1

    Data access

A read-only SQL Server login or reporting replica scoped to approved SYSPRO tables and views, plus optional e.net business object calls for operations where SYSPRO logic matters more than raw tables.

  2. 2

    Semantic layer

A maintained dictionary mapping your stock codes, warehouse codes, lot naming and user-defined fields to business terms so questions like short-dated chilled stock resolve correctly.

  3. 3

    Private model

An open-weight model served with vLLM or Ollama on your GPU server or sovereign cloud; no prompt, recipe or lot data is sent to a public API.

  4. 4

    Document retrieval

Optional retrieval over specifications, HACCP plans, SOPs and supplier certificates, kept in a separate index with its own access control.

  5. 5

    Governance

Role mapping to SYSPRO operators or groups, full query and answer logging, and human approval for any write-back such as a hold or a note.

Integration notes for your ERP team

  • Prefer a read replica or reporting database of the SYSPRO company database so analytical queries never compete with order entry.
  • Expose curated SQL views for lots, expiry and consumption rather than raw tables; this keeps prompts small and answers consistent.
  • Use e.net business objects only where SYSPRO business logic must be honoured, for example reading availability, not for bulk reporting.
  • Map SYSPRO operators and groups to AI roles so a warehouse clerk cannot ask about cost or margin by phrasing it differently.
  • Catalogue user-defined fields and custom forms early; food plants tend to hold allergens and origin in UDFs.
  • Index specification PDFs and certificates separately and cite the document and page in every answer that uses them.
  • Treat any write-back (hold, note, task) as a proposal that an authorised user must confirm.

Deployment options

On-prem server beside SYSPRO

Plants that already run SYSPRO and SQL Server in their own data center

A single GPU server on the plant network reads from a replica or read-only login, with no internet egress required for inference.

Private or sovereign cloud

Multi-site groups with SYSPRO in a hosted environment

The model and index run in the same tenancy as the SYSPRO database, so data does not cross jurisdictions or providers.

Hybrid with partner-run build

Smaller processors without data science staff

A SYSPRO partner handles the semantic layer and rollout while Netray provides the private AI stack and agents.

Compliance and data control

How the architecture supports your obligations. Certification and accountability stay with your organisation; the design keeps the evidence straightforward.

FSMA Section 204 traceability

The assistant helps you assemble key data elements and critical tracking events from SYSPRO lot data faster. Your compliance programme and its record-keeping remain yours; the tool does not replace them.

FSMA preventive controls (21 CFR 117)

Questions and answers are logged so corrective-action investigations can cite the data reviewed. Preventive control decisions stay with the qualified individual.

SQF and BRCGS audit evidence

Traceability exercise results and query logs can be exported as evidence of a repeatable process, while certification remains an audit outcome for your site.

Customer and retailer data restrictions

On-prem or private-cloud hosting lets you honour contractual limits on where formulations and pricing may be processed.

Questions to ask any vendor, including us

A short list that separates real SYSPRO 8 AI work from a chatbot demo.

  1. Can the vendor demonstrate a lot trace on our own data, with every row shown, before we buy?
  2. Where do prompts, recipes and lot data physically reside, and can inference run with no internet access?
  3. How are SYSPRO operator permissions enforced, and can a user see data they cannot see in SYSPRO?
  4. What happens when a user asks something the data cannot answer: does it say so or guess?
  5. Is write-back disabled by default, and what approval flow applies when enabled?
  6. How are UDFs and custom forms handled when SYSPRO is upgraded?
  7. What GPU and staffing footprint do we need for our user count?
  8. How are query logs retained for audit, and who can read them?

Frequently asked questions

Can AI do a recall trace in SYSPRO?

It can speed up the trace by assembling lot movements from SYSPRO's lot and job data and listing affected finished lots and customers, with the rows shown. A qualified person should still verify the output and decide on any recall action. It is an accelerator for the evidence gathering, not a decision maker.

Does it write anything back to SYSPRO?

Not by default. The standard setup is read-only. If you later want actions such as placing a lot on hold, those are proposed to a user and applied only after approval, preferably through SYSPRO business objects so system logic and audit trails are respected.

Is a GPU server required for a small plant?

Usually one modest GPU server is enough for a few dozen users with a mid-sized open-weight model. If query volume is light, a smaller model or shared host may do. Sizing depends on concurrency and document volume, so we size it from your actual usage rather than a guess.

Will it understand our custom lot numbers?

After a mapping step, yes. We document how your lot numbers are built, where allergens and origin are stored and what units you use. The semantic layer carries that knowledge so the model does not guess at conventions.

Is SYSPRO's own AI enough?

For simple tasks inside SYSPRO screens it may be. Teams that need cross-table lot trace, private hosting or document retrieval over specifications usually need more. We say plainly if a standard report or SYSPRO inquiry already solves your problem.

Does this make us FSMA compliant?

No tool can do that. Compliance is a programme of controls, training and records. The assistant helps retrieve and assemble data faster and logs how it was derived, which supports your own processes and audits.

How is accuracy checked?

We build a test set from known cases such as past mock recalls and expiry reports, compare answers to the verified results, and repeat that check after each SYSPRO or model update. Answers always display the query so users can verify.
