How to Change or Reset a Baan / Infor LN Password

Question
how to change baan password

Short answer

Users change their own password from the change password option in the session menu after login, and an administrator resets another user's password in the User Data session (ttaad2100m000). On Infor LN 10 sites that sign in through Infor OS, the password lives in the identity provider, so you reset it there instead of in LN.

Applies to: Baan IV/5 and Infor LN 6.1 / 10.x. Menu labels differ slightly between the BW client, Worktop and the LN UI.

Change or reset the password

  1. 1Decide which case you have: you know the password and want to change it, or you are locked out and need an administrator reset.
  2. 2To change your own: log in, open the application options or Specific menu and choose the change password function, then enter the old and new password as your password rules require.
  3. 3To reset someone else: an administrator opens User Data (ttaad2100m000), selects the user and uses the password function to set a new one.
  4. 4Set the rule that forces a change at next login if your policy requires it, so the administrator never knows the permanent password.
  5. 5If the account is locked after failed attempts, clear the lock on the user record before or together with the reset.
  6. 6On LN 10 with single sign-on, reset the password in Infor OS or your corporate identity provider, not in LN.
  7. 7Ask the user to log in again and confirm access.

Where the password really lives

In classic Baan and in LN installations with local authentication, the password is stored with the user's definition in the Tools data and checked by the server when the bshell starts. That is why the User Data session is where an administrator resets it.

On LN 10 sites using Infor OS and federation, authentication happens outside LN. Changing the LN-side password does nothing for sign-in, and the user keeps being rejected. Check how your site authenticates before changing anything.

Password policy and expiry

Expiry and complexity rules come from the user data settings and any operating system or directory policy in front of it. If users are asked for a new password every few weeks and cannot set one, the new password probably fails a rule they cannot see, such as minimum length, history or character classes.

Document the rule in your helpdesk page. Most repeat password tickets are caused by an unpublished rule, not by a fault.

Service accounts and integrations

Be careful when changing the password of an account used by an integration, a batch job or an ION connection. Changing it breaks the job at the next run. Keep a list of technical users and where their passwords are stored, and change them in a planned window.

Common pitfalls

  • !Resetting the LN password on an SSO site and wondering why nothing changes.
  • !Changing the password of a service account that a batch job or integration uses.
  • !Sharing the temporary password in chat or email. Force a change at next login.
  • !Not clearing a lock, so the new password still fails.

How an ERP-grounded AI assistant handles this

An assistant on your own helpdesk data can answer the routine questions: which authentication type a user has, whether the account is locked, and what the policy says. Password changes themselves should stay a manual, audited step; Netray does not automate credential resets.

Frequently asked questions

How do I change my own Baan password?

After logging in, use the change password function in the application or Specific menu, enter the current password and the new one. If the option is missing, your site may use single sign-on, where you change it in the identity provider instead.

How does an admin reset a Baan or LN password?

Open User Data (ttaad2100m000), select the user, and set a new password with the password function. Prefer a temporary password with a forced change at next login.

Why does LN keep rejecting the new password?

Either the password breaks a complexity or history rule, the account is locked, or LN 10 uses Infor OS for authentication and the password was changed in the wrong place. Check the lock status and how the site authenticates.

How to Add Users in the Baan / Infor LN GUI (Including Admin Access)

In Baan and Infor LN you create a user in the User Data session (ttaad2100m000), set the user type, language, company and login details, base it on a user template, and then give the user roles through the authorization management system. You need a user with administrator rights in the Tools (tt) package to do it, and in LN 10 the identity may also have to exist in Infor OS.

How-to

How to Create an Infor LN User from a User Template and Copy Authorizations

In Infor LN you create a user in User Data, link it to a user template that carries defaults such as language, printer, company and package combination, and assign roles that grant session and table authorizations. Copying authorizations from an existing user is possible but is the least safe approach compared with role-based assignment.

Error fix

Infor LN Not Authorized to Run This Session: How to Fix It

Infor LN refuses to open a session with a not authorized message when the logged-in user's assigned role does not include that session, or when the session is blocked for the company they are logged into. Grant the session through Common > Authorization Management > Roles, or check the user's role and company context, and the session opens on retry. In most cases this is a permissions configuration issue, not a bug.

Error fix

Infor LN bshell Process Stuck at 100% CPU: How to Diagnose and Fix It

A bshell process pinned at 100% CPU on the Infor LN application server almost always means one session is stuck in a 4GL loop, scanning an unindexed table, or waiting on a database lock. End the session from the Sessions Monitor first, then kill the OS process only if that fails, and check for a blocking database transaction before assuming it is a bug.

Error fix

Infor LN DAL Out of Sync After a Custom Field: Cause and Fix

Infor LN throws a DAL, or table, out of sync error, or simply drops a new custom field silently, when a table's dictionary definition is changed but the generated DAL and dependent forms are not regenerated afterward. Running the standard sequence, table compile, DAL generation, then session/form compile, in Tools > Development after every dictionary change resolves it. Skipping any one of the three steps is what causes the mismatch.

Error fix

Infor LN Jobs Stuck in Active or Waiting: Fix the Job Daemon

Infor LN background jobs, reports, batch processes and print jobs, get stuck in Active or Waiting status when the job daemon on the enterprise server has stopped or lost its connection, or when a prior job crashed without releasing its status. Restart the job daemon and reset the stuck job's status through the Jobs session, and the queue resumes. A daemon that keeps stopping usually points to a memory, license or database connectivity problem on the server.
