SAP Sales Order Incompletion Log in VA01/VA02: Fix and Configure

Question
SAP VA01 sales order incomplete incompletion log how to configure

Also searched as

  • SAP sales order incomplete cannot create delivery

  • SAP V.02 incomplete sales orders list
  • sales order incompletion log required field SAP

Short answer

An SAP sales order is incomplete when a field marked as required by its incompletion procedure is empty. Open the order in VA02, choose Edit, Incompletion Log, fill the listed fields, and save. If you need to change which fields are required, you maintain incompletion groups and procedures in SD customizing, not in the order itself.

Applies to: SAP ECC 6.0 and S/4HANA on-premise sales documents; the same mechanism applies to deliveries and billing documents with their own procedures

How to clear and configure incompletion

  1. 1Open the order in VA02. Choose Edit, Incompletion Log (or the status icon in the header). The log lists each item and the field that is missing.
  2. 2Fill the missing fields. Typical ones are payment terms, ship-to partner, shipping point, pricing date, or a material field required for a specific item category.
  3. 3Save. The incompleteness status recalculates. If the status becomes complete, delivery creation and billing proceed.
  4. 4To find many incomplete orders, run V.02 (Incomplete Sales Orders) or V.00 for incomplete SD documents and work through the list.
  5. 5To change what counts as required, find the procedure for the document: for the sales document type in VOV8, for the item category in VOV7, for the schedule line category in VOVN. Each field points to an incompletion procedure.
  6. 6Maintain the procedure in OVA2 (sales document header and item) and assign fields to the status group. Required fields are grouped by screen field so that you list the table and field name.
  7. 7Set the Warning or Error behaviour by group. Some fields only warn at save, others block follow-on documents, which is what the status check enforces.
  8. 8Test with VA01, saving an order with the field empty, then confirm the log lists it. Transport the customizing and retest in quality.

How incompletion works

Incompletion is a rule set, not a validation. When you save a document, SAP compares its data with the incompletion procedure assigned to the document type or item category. Each field the procedure lists is checked. Missing data adds a row to the incompletion log, and the document's overall status becomes not complete.

The consequence depends on the status group. Delivery creation checks the delivery relevant status, billing checks the billing status, and an incomplete pricing result can block both. The document can still be saved, which is why users often discover the problem later when the delivery will not create.

Where to find and change procedures

Incompletion procedures are assigned at several levels. Sales document type in VOV8 has an incompletion procedure for the header. Item category in VOV7 has one for the item. Schedule line category in VOVN covers delivery related schedule line fields. Partner functions have their own procedure for required partners.

To add a required field, choose the procedure in OVA2, select the table and field, assign a status group and, if useful, a warning indicator. Be conservative with required fields: a mandatory field that is hard to maintain, such as a certificate number on every item, creates a backlog of blocked orders and manual workarounds.

VA02 Edit > Incompletion Log
V.02 Incomplete sales orders (list)
V.00 Incomplete SD documents (list)
OVA2 Incompletion procedures (sales)
VOV8 Sales document type (assign procedure)
VOV7 Item category (assign procedure)
VOVN Schedule line category

Common patterns that cause mass incompleteness

Mass incompleteness usually follows a change. A new required field added to the procedure makes existing open orders incomplete the next time they are changed. A new item category copied from an older one may point to an incompletion procedure that no longer matches the screens. Interfaces that create orders with BAPI_SALESORDER_CREATEFROMDAT2 may omit fields the dialog would default, so the orders arrive incomplete.

When an interface is the cause, fix the mapping rather than the procedure. Compare the BAPI input with the dialog result in VA03, pay attention to partner functions, payment terms and pricing date, and rerun a test order. Use the incompletion log as an acceptance test for each interface release.

Common pitfalls

  • !Marking too many fields as required and creating a large backlog of orders that cannot be delivered.
  • !Editing the incompletion procedure in production without transport, then losing the change at the next client copy.
  • !Fixing the procedure when the real cause is an interface that does not supply default values.
  • !Forgetting that item category and schedule line category use different procedures than the header.
  • !Ignoring V.02 and discovering incomplete orders only at month end when billing runs.

How an ERP-grounded AI assistant handles this

A grounded assistant like ERPray can list incomplete sales orders, group them by missing field and customer or interface source, and show the open orders affected if you added a new required field. This is read-only analysis shown with the query used. Corrections to orders or customizing remain with your SD team and go through approval.

Frequently asked questions

Does an incomplete sales order block delivery?

It can. If an item is incomplete for delivery relevant fields, delivery creation checks the status and refuses or warns depending on copy control and the status group. Billing is checked the same way against the billing status. Clear the incompletion log and the order proceeds.

Where do I see a list of all incomplete orders?

Use V.02 for incomplete sales orders and V.00 for the broader list of incomplete SD documents. Filter by sales organisation and creation date, then work from the list, using VA02 and the incompletion log to fill each missing field.

How do I make a field required for one order type only?

Create or copy an incompletion procedure in OVA2, add the field to the status group, and assign the procedure to that sales document type in VOV8. Other order types keep their existing procedure, so the rule applies only where you assigned it.

Why are orders from my interface always incomplete?

The interface probably omits values the dialog fills by default, such as payment terms from the customer master or pricing date. Compare the interface payload with a manual order in VA03, supply the missing fields or rely on the proper defaults, and test again.

Error fix

SAP VF04 Billing Due List Is Empty: Why Documents Do Not Appear

VF04 only lists documents that are billing relevant, not yet fully billed, not blocked, complete, and inside the selection dates you entered. When a delivery or order is missing, the cause is almost always one of: goods issue not posted, a billing block, an incompletion, wrong billing relevance on the item category, or a billing date outside the selection range.

How-to

SAP VL150: Collective Processing of Documents Due for Delivery

VL150 (and its more commonly used successor VL10) mass-creates outbound deliveries for sales orders that are due by a selected date, based on shipping point, route, and delivery-relevant item category. Orders that do not appear are usually held back by a delivery block, an incomplete order, a failed availability check, or a delivery date outside the selection window.

Error fix

SAP Pricing Error: Condition Record Missing for PR00 in a Sales Order

The error means the pricing procedure expected a price condition such as PR00, found no valid record for the key, and the condition was flagged mandatory. Use the pricing analysis in the order item to see which access failed, then create the record with VK11, or fix the pricing procedure determination if the wrong procedure was selected.

Error fix

SAP M7 021: Deficit of SL Stock Quantity

M7 021 fires during a goods issue, delivery, or confirmation when SAP checks the unrestricted-use (SL) stock for the exact plant, storage location and batch combination and finds less than what you are trying to post out. Fix the entry (batch, storage location, quantity) first; only enable negative stock or downgrade the message to a warning if the business genuinely needs to post ahead of a receipt.

Error fix

SAP IDoc Status 51: Application Document Not Posted

Status 51 tells you the IDoc reached the application layer and failed to post, but the status text itself is not the error - the real cause sits in the status record's long text or the linked application log. Fix the underlying data or configuration, then reprocess the IDoc through BD87 rather than editing the status.

Error fix

SAP Short Dump TIME_OUT: Maximum Runtime Exceeded

A TIME_OUT runtime error means a dialog (or RFC) work process ran longer than the maximum allowed runtime, controlled by profile parameter rdisp/max_wprun_time (600 seconds by default). The fix is almost always to move the long-running work to background processing or tune the underlying program, not to raise the timeout.
