SAP Incompletion Log Checklist: Procedures, Status Groups and Testing

Incompletion control lets SAP stop an order, delivery or billing document from moving ahead when required data is missing. It protects downstream steps, but only if the rules are designed with the business and tested for every channel that creates documents.

Reporting and testing

Critical items protect downstream steps. If any are open, expect orders to reach delivery or billing with missing data.

Incomplete order monitor

Optional: we can build a read-only monitor of incomplete orders with the missing field, owner and age.

Optional. The tool and every export work without this. No spam.

How to use the checklist

Begin with the design group and agree which fields are needed for delivery, which for billing and which for neither. Then work through customizing and the process behavior. Tick items as you test them in a sandbox with realistic orders. Export the list as PDF for sign-off. Use the same checklist whenever you add a new document type, because incompletion assignments are often missed.

  • Get business owners to decide field rules
  • Test with manual, EDI and portal orders
  • Review rules after adding new document types
  • Keep the final field list in the design document

How incompletion works

An incompletion procedure lists fields to check for a document level, such as header, item, schedule line or partner. Each field belongs to a status group, which says what is blocked when the field is empty: for example delivery, billing, or only a warning. The procedure is assigned to the sales document type, item category, schedule line category or partner function, and SAP re-evaluates it when the document is saved. The log shows which fields are missing and where to enter them.

  • Procedure: the list of fields to check
  • Status group: what the field blocks
  • Assignment: which document or item uses the procedure
  • Log: shown from the Edit menu in the document

Reports and tables

Report V.02 lists incomplete sales orders so order management can work through them by sales area or creation date. The incompletion log details are stored in table VBUV. In ECC, status data sat in VBUK and VBUP, while S/4HANA moves many status fields into the main document tables, so custom reports need review after conversion. Always test the reports with orders created through every channel.

Common mistakes

A frequent mistake is making too many fields mandatory as errors, which pushes users to enter dummy values. Another is assigning the procedure to the sales document type but not to the item category or partner function, leaving gaps. Teams also forget that EDI and API created orders bypass screen checks, so incompletion may be the only protection against bad data reaching billing.

Frequently Asked Questions

What is the incompletion log in SAP?

It is a list of fields that are required but empty on a sales document or delivery. You open it from the Edit menu in the document. Depending on the status group, those fields can block delivery, billing or both until they are filled.

How do I list all incomplete sales orders?

Run transaction V.02, the list of incomplete sales orders. You can select by sales organization, document type, creation date or customer. The report shows which documents are incomplete so staff can open them and complete the missing data.

What is a status group?

A status group is a setting attached to a field in the incompletion procedure. It tells SAP what to block when the field is missing, such as delivery, billing or confirmation. Choosing the right group is the main design decision.

Does incompletion apply to orders created by EDI?

Yes. The check runs when the order is saved, whatever the source. That is useful, since EDI orders can arrive without mandatory data. Make sure someone owns the incomplete list, otherwise EDI orders can wait unseen.

If incomplete orders pile up with nobody working them, we can build a read-only agent that lists them by owner and age, with the missing field named, from live SAP data.
