SYSPRO: Custom Form Fields, Activity Based Costing and GRN

Question
syspro custom form fields

Also searched as

  • syspro activity based costing
  • how to grn in syspro
  • syspro user defined fields
  • syspro add field to screen

Short answer

SYSPRO lets you add custom fields to screens through its customization tools without changing source code, approximates activity based costing through work center cost rates, overhead recovery and cost multipliers, and posts a GRN through Purchase Order Receipts. Exact menu names differ between SYSPRO 7 and 8 and by installed modules, so confirm in your version.

Applies to: SYSPRO 7 and SYSPRO 8 (menu labels vary by version and licence)

Three common SYSPRO tasks

  1. 1Custom fields: use SYSPRO's customization features (custom forms and user-defined fields) to add a field to a program screen. Define the field name, type and length, place it on the form, then save and test with a non-admin operator.
  2. 2Make custom data reportable by exposing it to SYSPRO Reporting Services or a custom view, and by adding it to import/export or business object calls if integrations need it.
  3. 3Activity based costing: define work centers with setup and run cost rates, and set up overhead recovery in the Work in Progress setup so activity cost is charged to jobs by time rather than only by material.
  4. 4Review the cost build-up on a stock code (cost multiplier, labor, overhead) and compare quoted job cost with actual using WIP reports.
  5. 5GRN: open the Purchase Order Receipts program, select the purchase order, enter quantities received per line, lot or serial where required, and post the receipt.
  6. 6Match the supplier invoice in Accounts Payable using the GRN so the GRN suspense account clears; review variances.
  7. 7Test everything in a test company before it reaches production.

Custom fields without code

SYSPRO separates customization from core code so upgrades keep working. Custom fields are stored apart from the standard tables and shown on the screen layout you choose. Treat them like any extension: record the field names, who owns them, and where they flow (reports, e.net business objects, imports).

If an integration reads or writes the screen's data, check whether the business object supports user-defined fields, otherwise the data stays inside the screen. Ask your SYSPRO partner for the custom form capabilities licensed in your site.

Activity based costing in practice

Pure ABC allocates overhead by cost drivers such as setups, inspections or machine hours. In SYSPRO the nearest standard approach is to price activities through work center rates (setup, run and fixed overhead) and recover overhead by hours, which is activity-driven, plus cost multipliers on material.

If you need many separate drivers and pools, you may build the analysis in reporting or a separate cost model fed with SYSPRO data. Decide on a few meaningful drivers rather than dozens; each one needs consistent data capture on the shop floor.

Doing a GRN

A GRN (goods received note) in SYSPRO is the receipt of purchase order lines into inventory, usually through Purchase Order Receipts. Where GRN matching is on, the system accrues the liability at receipt and the AP invoice later matches against it.

See the dedicated GRN page for matching, variance and reversal details.

Common pitfalls

  • !Adding fields on production directly instead of testing, then not documenting them.
  • !Expecting custom fields to appear in every report or business object automatically.
  • !Assuming pure ABC is a switch; it needs consistent shop-floor data and agreed drivers.
  • !Receiving to the wrong warehouse or lot and then having to reverse the receipt.

How an ERP-grounded AI assistant handles this

SYSPRO users often ask where a number came from or what a receipt did to cost. A grounded assistant, run privately for on-prem SYSPRO, can read the stock, PO and WIP data and explain the effect, read-only. It does not replace the vendor's customization tools for adding fields.

Frequently asked questions

Can I add fields to SYSPRO screens without a developer?

Yes, within the limits of your version and licensed customization tools. Define the field, place it on the form, and test it. More complex logic or integrations may need a SYSPRO partner or developer.

Does SYSPRO support activity based costing?

SYSPRO supports activity-driven costing through work center rates and overhead recovery. Full multi-driver ABC pools are typically modelled in reporting or a separate model, so confirm your requirements with your SYSPRO partner.

How do I do a GRN in SYSPRO?

Use Purchase Order Receipts: choose the PO, enter the received quantities, handle lots or serials, and post. Then match the supplier invoice in Accounts Payable against the GRN.

Are custom fields kept after an upgrade?

They are designed to survive upgrades, but you must test them on a copy of the upgraded company, because screen layouts can change between versions.

How to Do a GRN (Goods Received Note) in SYSPRO

In SYSPRO you receive goods against a purchase order in the Purchase Orders module, which creates a goods received note (GRN), puts stock into the warehouse and posts the value to a GRN suspense account. When the supplier invoice arrives, Accounts Payable matches it to the GRN, which clears the suspense and records any price difference.

How-to

SYSPRO costing methods: standard, average, FIFO and last cost

SYSPRO sets the costing method on each stock code, so one company can mix methods. Standard cost holds a fixed cost and posts variances, average cost blends receipts into a moving cost, FIFO values stock at the cost of the oldest layers, and last cost uses the latest purchase cost. The method drives inventory value, WIP and variance postings.

How-to

SYSPRO Cost Multiplier and How to Update an Item's Standard Cost

In SYSPRO the cost multiplier is a factor held with the stock code's cost data that scales the cost SYSPRO uses, so check the field help (F1) in your release for its exact rule. To update an item's cost, change it through stock code maintenance or a cost rollup, understand which costing method (standard, average or last cost) the item uses, and expect a standard cost change to revalue on-hand stock and affect WIP and the GL.

SYSPRO API Documentation: e.net Business Objects and REST

SYSPRO's integration layer is e.net Solutions: a set of business objects (queries, transactions and setup objects) that take and return XML, reachable through a COM or .NET interface or through web services hosted by the e.net components. The documentation ships with the product help and the schema (XSD) files for each business object; a typical call is Logon, then Query or Transaction Post, then Logoff.

SYSPRO reporting API: e.net, SRS server-side reporting, Crystal Reports and SRS preview problems

SYSPRO gives you three reporting routes: the e.net Solutions business object API (XML in, XML out) for programmatic data, SYSPRO Reporting Services (SRS) for designed reports run on the server, and Crystal-based or SQL-based custom reports. If the SRS preview does not work, check the services, the runtime and bitness, the SQL permissions and the client and server versions in that order.

Error fix

Error validating SYSPRO online profile: what it means and how to fix it

A profile validation error means the SYSPRO client or service could not confirm the operator, company, licence or database connection it was handed at logon. Check the service and licence first, then the operator and company, then the database and disk, in that order. Storage errors are usually full disks, a locked SQL file or a tempdb problem rather than a SYSPRO bug.
