How to use ChatGPT with abas ERP

Short answer

You can use ChatGPT with abas ERP either by exporting selected data for analysis or by giving a custom GPT or connector controlled access to a small API in front of abas. For production or regulated data, a private model hosted on your own infrastructure usually avoids the hardest questions.

Many abas users already paste a quote, an error message or a list of parts into ChatGPT to get help. That works for one-off questions, but it does not scale, and it quietly moves business data to a third-party service without any control over what was included.

The better pattern is to decide what ChatGPT should do for you, then give it exactly the data it needs. For analysis of a closed export, a file upload may be enough. For repeated questions about live order status, you need an API that sits between ChatGPT and abas.

This page covers the realistic options for abas, what each exposes, and where the line sits between a convenient experiment and a design you can defend to your data protection officer.

What teams use it for

Explaining a customised infosystem

Developers paste FOP or infosystem source (with secrets removed) and ask ChatGPT to explain what it does before changing it.

Analysing a sales order export

A controller exports open orders to CSV and asks for patterns in delivery slippage by customer or product group, working on anonymised data.

Drafting supplier correspondence

Buyers describe the situation and ask for a polite reminder or a request for price revision in the supplier's language, then paste into abas mail or their own mail client.

Mapping data for a migration

Teams moving from abas to another system share field lists and ask for mapping suggestions to a target schema, reviewing every suggestion.

Custom GPT for shop-floor status questions

A custom GPT with an action calls a small internal API that returns production order status, so a planner can ask in plain language.

abas ERP integration surface

  • EDP and selection exports: abas can export records and infosystem output to files, the simplest way to feed ChatGPT a snapshot.
  • Infosystems with output to Excel or text: many sites already produce clean list outputs that are safer to share than raw tables.
  • A thin HTTP API in front of abas, built on the Java object layer, EDP client or the REST interface in newer versions, is what a custom GPT action would call.
  • OpenAPI definition: ChatGPT actions need an OpenAPI schema, so your wrapper API must be described and reachable over HTTPS from the internet or a gateway.
  • Authentication: actions support API key or OAuth to your gateway, never the abas credentials themselves.

How it works

  1. 1

    Classify the data

List which abas data the use case needs and classify it: public, internal, customer confidential, regulated. Anything above internal rarely belongs in a consumer ChatGPT account.

  2. 2

    Choose the plan

Use a business or enterprise plan with the training opt-out and admin controls your company approves, not personal accounts.

  3. 3

    Start with exports

Produce cleaned CSV or Excel output from an infosystem, strip personal and price-sensitive columns, and upload for analysis.

  4. 4

    Build a read-only gateway

For live questions, build a small API with a few endpoints such as order status and stock lookup, backed by a dedicated abas service user.

  5. 5

Publish a custom GPT with actions

Describe the gateway in OpenAPI, restrict the GPT to your workspace, and write instructions telling it to answer only from the returned data.

  6. 6

    Review usage and tighten

Check logs of what the gateway returned, remove fields nobody needs, and decide whether the workload should move to a private model.

Example flows

Weekly delivery slippage review

Trigger: Controller runs the open order infosystem on Monday

  1. Export open order lines to CSV
  2. Remove customer names and prices, replace with codes
  3. Upload to ChatGPT in the company workspace
  4. Ask which product groups slipped most and why

Result: A readable summary for the management meeting, produced from data that never included identifiable customers.

Planner asks about a production order

Trigger: Planner types a question in the custom GPT

  1. GPT calls the status action with the order number
  2. Gateway queries abas read-only and trims the response
  3. GPT explains the status, open operations and delays

Result: Answers in seconds without opening several screens, with every request logged at the gateway.

Keeping data on-prem

ChatGPT itself is a cloud service, so on-prem means the data does not leave when you use it. If your abas system holds export-controlled designs, defense work or customer data with contractual restrictions, the practical answer is to host an open-weight model locally and give it the same gateway. You keep the conversational interface, but prompts, retrieved records and logs stay inside your network. Some teams use ChatGPT for non-sensitive tasks such as drafting and code explanation, and a private model for anything touching live abas records.

Security checklist

  • Use a business or enterprise workspace with training opt-out, never personal accounts
  • Gateway authenticates every action call and maps it to a narrow abas service role
  • Strip or pseudonymise personal data and prices before uploads
  • Rate limit and log every action call, including returned fields
  • Confirm with legal whether customer contracts allow third-party AI processing

Ways to get it done

Manual exports into ChatGPT

Effort: Hours, but needs discipline and clear rules.

Occasional analysis on non-sensitive or anonymised data.

Custom GPT with an action over your own gateway

Effort: A few weeks including the gateway and security review.

Repeated read-only questions where ChatGPT is already approved.

Private model with a Netray-style gateway

Effort: A scoped pilot, comparable to the gateway plus model hosting.

Sensitive or regulated abas data, or a requirement that nothing leaves the network.

Pitfalls

  • !Pasting raw EDP output can leak customer names, prices and personal data without anyone noticing.
  • !Actions need a public HTTPS endpoint, which security teams often reject for an on-prem abas server. Use a hardened gateway, not the ERP itself.
  • !ChatGPT can sound certain about field meanings in your customised abas. Always ground answers in returned data and your glossary.
  • !Context limits: dumping a whole export hits limits and degrades answers. Pre-aggregate in the infosystem.
  • !Shadow use on personal accounts is the biggest real risk. Provide an approved path instead of only banning.

Frequently asked questions

Can ChatGPT connect directly to abas ERP?

Not directly. abas is reached via EDP, the Java object layer or REST depending on version, none of which ChatGPT speaks natively. You put a small API in front of abas and describe it as an action or connector, with authentication and limits you control.

Is it safe to upload abas exports to ChatGPT?

It depends on the data and the plan. Business and enterprise plans offer stronger controls, but you must still decide what is allowed. Anonymise customers and prices, and check contracts. For regulated or export-controlled data, use a private model.

Does ChatGPT understand abas field names?

Generic abas concepts, partly. Your customised fields, German abbreviations and local conventions, no. Provide a short glossary in the GPT instructions or retrieve it, and verify answers against the actual record.

Why not just use ChatGPT for everything?

Cost, control and confidentiality. Repeated live queries are cheaper and more private on a model you host, and you gain predictable behavior and logging. ChatGPT remains a good fit for general drafting and explanations of non-sensitive material.

Can ChatGPT update abas records?

It can if your gateway exposes write endpoints, but we advise against that early on. Expose proposals instead, require human approval, and let the gateway perform the write under an audited service identity.
