How to use ChatGPT with Epicor Vantage and Epicor 9
Short answer
There is no built-in ChatGPT connector for Epicor 9 or Vantage. You can paste or upload BAQ and report exports for ad hoc analysis, or put a small HTTPS service in front of Epicor and expose it to a custom GPT as an action. For regulated or customer-confidential data, a private model is often the better answer.
Many Epicor 9 users already do the simple thing: export a BAQ or a report to Excel, drop it into ChatGPT and ask what is going on. It works surprisingly well for one-off analysis, and it costs nothing to try.
The harder question is moving from that manual loop to something repeatable and governed. Epicor 9 predates the REST-first world ChatGPT actions expect, so live access means you build an adapter in the middle, and you decide what leaves your network.
This page covers the three levels: file exports, a custom GPT with actions over a small gateway, and the point at which keeping the model on your own hardware makes more sense than any cloud option.
What teams use it for
Explaining variances from a BAQ export
Upload a job cost variance BAQ and ask which operations drive overruns, then iterate with follow-up questions. No integration needed beyond the export.
Drafting customer delay notices
Paste the sales order lines that will ship late and have ChatGPT draft polite, specific notices that the CSR edits and sends from Epicor contacts.
Writing and reviewing BAQ logic
Describe the report you want in plain language and have it propose the joins across OrderHed, OrderDtl and OrderRel for you to test in the query designer.
Translating supplier correspondence
Quickly translate and summarise overseas supplier emails against PO context pasted from Epicor, before a buyer replies.
Training new planners
Use sanitised data samples to explain MRP outputs, pegging and why a job shows as short, in language a new hire can follow.
Epicor Vantage / Epicor 9 integration surface
- BAQ and standard report exports (Excel, CSV) from Epicor 9 / 9.05: the lowest-friction way to give ChatGPT data without any integration.
- ODBC/JDBC read access to the OpenEdge database, which a gateway service can use to serve controlled, parameterised results.
- Epicor business objects via the service layer, usable by a gateway to read or write with Epicor's validation. Exact interface style depends on version and patch.
- Service Connect workflows, which can push selected data out on a schedule if you prefer push over pull.
- No native OpenAPI description: a gateway has to publish one for a custom GPT action to consume.
How it works
- 1
Decide what data may leave
Classify BAQ outputs: public-ish (part descriptions, lead times), internal (costs, margins), restricted (customer contracts, export-controlled drawings). Only the first tier should ever go to a cloud model by default.
- 2
Standardise a few BAQs for export
Create BAQs with stable column names and no unneeded fields. Consistent shapes make the prompts reusable.
- 3
Choose the right ChatGPT plan
Use a business or enterprise tier whose terms say data is not used for training, and review retention and admin controls with your IT and legal contacts.
- 4
Build a small gateway for live access
An HTTPS service you host reads Epicor through ODBC or business objects and exposes a few endpoints with an OpenAPI file. It authenticates callers, limits row counts and logs requests.
- 5
Create the custom GPT and register actions
Point the GPT at the gateway spec, give it instructions about what each endpoint means in your Epicor, and restrict who can use it inside your workspace.
- 6
Review and tighten
After two weeks, read the logs: which endpoints are used, which questions fail, which fields were never needed. Remove what is unused.
Example flows
Weekly margin review with a file upload
Trigger: Finance exports the margin BAQ every Monday
- Remove customer names or replace them with codes.
- Upload the file to a business-tier ChatGPT workspace.
- Ask for the five jobs with the largest margin drop and likely causes.
- Copy the findings into the weekly review deck.
Result: A 30-minute manual review becomes a 5-minute check, with no integration to maintain.
Custom GPT for order status
Trigger: CSR asks, 'Where is order 12345?'
- The GPT calls the gateway's order_status action with the order number.
- The gateway queries OrderHed, OrderDtl, OrderRel and recent shipments read-only.
- It returns lines, promised dates and shipped quantities.
- The GPT summarises and suggests a customer-facing message.
Result: The CSR gets a grounded answer in seconds without opening multiple Epicor screens.
Keeping data on-prem
If part data, pricing or drawings cannot go to a cloud service, do not try to harden the cloud path; replace it. Run an open-weight model on a GPU server inside your network, put the same gateway in front of Epicor, and use an internal chat front end instead of ChatGPT. You keep the interaction style your users like while the data never leaves the plant. Some teams run both: ChatGPT for non-sensitive writing and translation, private model for anything touching costs, customers or controlled technical data.
Security checklist
- Never paste restricted data into consumer-tier ChatGPT; use a business or enterprise workspace with admin controls.
- Give the gateway its own read-only database user and cap result sizes and query time.
- Authenticate every action call with a token you can revoke, and log caller identity.
- Strip or tokenise customer names and part numbers in exports when the analysis does not need them.
- Document which data tiers are allowed in which tool so users are not guessing.
Ways to get it done
Manual export and upload
Effort: Hours to set up BAQs and a usage policy.
Best for analysis done a few times a week by a few people.
In-house gateway plus custom GPT
Effort: Typically a few weeks including testing and security review.
For teams with a developer who knows Progress SQL or the Epicor business objects.
Private model with a Netray-built gateway
Effort: A scoped pilot is generally weeks, not months.
When data sensitivity rules out cloud models or you want grounding, logging and approvals designed in.
Pitfalls
- !Assuming ChatGPT can reach Epicor on its own; it cannot without something you build and host.
- !Uploading large raw exports and trusting the arithmetic, instead of having totals computed in the BAQ.
- !Exposing a gateway endpoint that accepts arbitrary SQL because it was quick to build.
- !Forgetting that custom GPT sharing settings can widen the audience beyond who should see the data.
- !Treating one good demo as proof, without testing on messy jobs with UD fields and old data.
Frequently asked questions
Is there an official ChatGPT plugin for Epicor 9?
Not that we can point to for Epicor 9 or Vantage. Connections are generally built by customers or partners as a gateway, because Epicor 9 does not expose a modern REST interface that ChatGPT actions can call directly.
Can ChatGPT read my Epicor database directly?
No. ChatGPT cannot open ODBC connections to your server. You need an intermediary service that you host, which runs controlled queries and returns results over HTTPS to a custom GPT action.
Is it safe to upload Epicor exports to ChatGPT?
It depends on the data and the plan. Business and enterprise tiers offer stronger data terms, but customer contracts, controlled technical data or regulated records may still be better handled by a private model. Check your own contractual and compliance obligations first.
Does this work with the older Vantage releases?
File exports work on any release that can produce reports or BAQ results. A live gateway depends on ODBC access to the Progress database, which is usually available, but driver versions and licensing need to be confirmed for your install.
When should I choose a private model instead?
Choose private when data cannot leave your network, when you need full audit of every prompt and result, or when you want agents that act on Epicor with approvals. For pure writing help on non-sensitive text, ChatGPT is usually enough.
