How to connect Slack to Macola

Short answer

Create a Slack app with slash commands and interactive messages, back it with a service that queries Macola's SQL Server data read-only, and route any change through a reviewed write path. Socket Mode lets an on-prem service work without opening inbound ports.

Not every Macola shop uses Teams. Smaller distributors and technology-leaning manufacturers often run Slack for operations, and a channel called something like #ship-today is where the day gets coordinated. What is missing is a direct line between that channel and the ERP, so people end up pasting order numbers and screenshots.

A Slack app can fix the most common lookups and alerts. A slash command such as /order 12345 can return the header, lines and ship status. A scheduled post can list shortages. An interactive message can ask a manager to approve a small exception.

Because Macola is frequently hosted on a local SQL Server, the safest posture is a thin service that reads only and exposes only what each channel is meant to see.

What teams use it for

Order lookup slash command

/order 10045 returns customer, status, line quantities shipped versus ordered and the promised date.

Stock check

/stock ITEM-100 shows on-hand, allocated and on-order quantities by location from the inventory tables.

Ship-today board

A 7 a.m. message lists orders due to ship with any shortages flagged, so the warehouse starts with a plan.

Expedite requests

A sales rep clicks a button on an order message to ask purchasing to expedite a late PO line; purchasing sees it as a task.

Large order alert

New orders above a value threshold post to a sales leadership channel with customer and margin band.

Receiving heads-up

When a PO receipt posts, the requester who is waiting on the item gets a direct message.

Macola integration surface

  • SQL Server tables for orders, items and purchasing are the primary read surface on current Macola. Names differ by version and edition, so inventory them from your own schema.
  • A read-only database role or reporting views provide stable, documented access for the Slack service.
  • Macola's supported write interfaces (web services or import routines, depending on version and licensing) are the only path for changes triggered by Slack.
  • There is no native event bus; new-order and receipt events are detected by polling on timestamps or an integration-owned change log.
  • Customer names, costs and margins are in the same database, so view design controls what each channel can see.

How it works

  1. 1

    Create the Slack app

Define scopes for slash commands, posting messages and reading channel membership. Install it to the workspace with admin approval.

  2. 2

Choose Socket Mode or Events API

Socket Mode uses an outbound WebSocket, which suits an on-prem service. The Events API needs a public HTTPS endpoint.

  3. 3

    Build read views in Macola

Create views for order summary, stock position and open PO lines with only the columns each command needs.

  4. 4

    Implement commands and verification

Verify Slack signing secrets, map the Slack user to a Macola role, and answer with Block Kit messages.

  5. 5

    Add scheduled alerts

A job posts digests and threshold alerts to channels, using idempotency keys so restarts do not repeat posts.

  6. 6

    Add interactive actions with review

Buttons create tasks or staged changes, never direct ERP writes; an authorized user applies them.

Example flows

Warehouse asks about an order

Trigger: A picker types /order 10045 in the warehouse channel.

  1. Slack sends the command to the service over Socket Mode.
  2. The service checks the user's role and queries the order view.
  3. It replies with a Block Kit summary of lines, shipped quantities and location.

Result: The picker gets the answer in seconds without a phone call to the front office.

Expedite request from sales

Trigger: A rep clicks Expedite on a late-order alert.

  1. The service finds the open PO lines feeding the order.
  2. It posts a threaded message to the purchasing channel with the vendor and promise date.
  3. A buyer replies with a new date and clicks Accept.
  4. The change is staged and applied via the supported interface after review.

Result: Late-order escalations are visible and tracked rather than lost in side conversations.

Keeping data on-prem

Slack is a cloud service, but the Macola database and the bridge service can stay on your network. Use Socket Mode so the service only makes outbound connections to Slack and no inbound firewall rule is needed. Keep message content to what the channel is allowed to see: avoid costs and margins in broad channels and use direct messages or ephemeral replies for sensitive answers. If you add free-form questions, run an open-weight model on a local server that turns questions into whitelisted read queries, so ERP rows are never sent to an external model API.

Security checklist

  • Verify Slack request signatures and use a dedicated bot token stored in a secrets manager.
  • Use ephemeral messages for sensitive answers such as cost or margin, and restrict commands by channel.
  • Map Slack users to Macola roles; deny commands for unmapped users.
  • Use a read-only SQL role and views; keep all writes behind a reviewed path.
  • Log every command, response and action with the Macola document reference.

Ways to get it done

No-code automation tool reading a SQL view

Effort: A few days.

Fits simple scheduled alerts if the tool can reach your SQL Server through a gateway or agent.

Custom Slack app in-house

Effort: Two to five weeks for commands, alerts and one approval flow.

Fits teams with a developer comfortable with Macola SQL and Block Kit.

Partner build with Netray

Effort: A scoped pilot typically takes a few weeks.

Fits shops wanting natural-language questions on a local model with strict view whitelisting and audit.

Pitfalls

  • !Running slow ad hoc queries against production from slash commands without timeouts or limits.
  • !Exposing cost and margin fields in a channel with contractors or guests.
  • !Relying on the 3-second Slack response window without acknowledging and following up.
  • !Posting duplicate alerts because the scheduler has no persistence.
  • !Treating Slack identities as proof of ERP authority without a mapping table.

Frequently asked questions

Is there a ready-made Slack app for Macola?

Do not assume so. Check with your reseller and Slack's app directory, but most teams build a small custom app that reads database views and exposes a few well-defined commands.

Can an on-premises Macola work with Slack?

Yes. Use Socket Mode so your service connects outward to Slack and receives commands over that connection. Your SQL Server stays on the internal network and never needs to be reachable from the internet.

Should Slack be able to change Macola data?

Start read-only. When you add actions, have them create a task or staged change that an authorized person applies, using a supported Macola interface so posting rules and audit are preserved.

How do we avoid leaking costs in channels?

Design views so each command returns only needed columns, use ephemeral replies for sensitive data, and restrict commands to specific channels and mapped roles.

Can we ask free-text questions instead of commands?

Yes, with a model that maps questions to approved read-only queries. Keep it grounded in your views, show the data source, and run the model locally if ERP data must stay in-house.
