Effective SyteLine workflows follow a principle of minimum viable complexity. Start with the simplest workflow that enforces your business rules and add complexity only when proven necessary. Every additional approval step, branching condition, or parallel path increases the probability of a stuck workflow.
Design workflows to complete in the shortest path possible and use exception routing only for cases that truly require human judgment.
- Limit approval chains to 3 levels maximum, beyond that, use dollar-threshold-based escalation
- Design for the 80% case in the primary path and handle exceptions through dedicated branches
- Include automatic escalation timers that route to alternates after defined wait periods
- Build timeout handling into every human decision step to prevent indefinitely stuck workflows
Notification and Escalation Configuration
Notifications are the communication backbone of SyteLine workflows. Configure email notifications with sufficient context, the approver should be able to make a decision from the email without logging into SyteLine for simple cases. Include direct action links where possible.
Escalation policies should follow your organizational delegation-of-authority matrix, with automatic re-routing when primary approvers are unavailable.

- Configure action links in notifications allowing one-click approve or reject for simple workflows
- Set escalation timers aligned with your SLA requirements: 4 hours for urgent, 24 hours for standard
- Define backup approver chains for each role to prevent workflow stalls during absences or vacations
Workflow Monitoring and Troubleshooting
