How Stampli connects to Oracle NetSuite
Native NetSuite integration over API
Stampli describes a native integration that syncs POs, vendors and bills with NetSuite and supports custom field mapping. Vendor master data, GL accounts, classes, departments and locations are pulled from NetSuite so coders pick valid values.
What data moves
| From | To | Data | When |
|---|---|---|---|
| NetSuite | Stampli | Vendors, POs, GL accounts, subsidiaries and dimension values | Scheduled sync |
| Stampli | NetSuite | Approved invoices created as vendor bills, with coding and mapped custom fields | Final approval in Stampli |
| NetSuite | Stampli | Bill payment status and payment details | Payment run in NetSuite |
| Stampli | NetSuite | Invoice image or link attached to the bill | Bill creation |
Setting it up
- 1Prepare NetSuite accessCreate an integration role with only the permissions needed for vendors, POs, bills and payment reads. Enable token-based authentication as Stampli directs.
- 2Connect and sync master dataAuthorize the connection, then run the first sync of vendors, POs and chart of accounts.
- 3Map custom fieldsMap the fields your bills need, such as project, cost center or approval flags, to Stampli fields.
- 4Configure matching rulesSet 2-way versus 3-way matching per vendor or category, and tolerances for price and quantity.
- 5Build approval workflowsDefine approvers by amount, department and subsidiary, and decide how exceptions get routed.
- 6Pilot with a vendor groupRun a few weeks in parallel for a subset of vendors and reconcile bills created against the manual process.
What usually breaks
- !Item receipts missing: 3-way matching fails if goods receipts are posted late in NetSuite, so invoices pile up as exceptions.
- !Partial receipts and partial billing against one PO line confuse matching if tolerances are not tuned.
- !Multi-subsidiary and multi-currency setups need vendor and subsidiary relationships correct in NetSuite, or the bill cannot be created.
- !Landed cost and freight invoices that need allocation across receipts usually need manual handling.
- !Duplicate invoices when a vendor emails the same document twice or via two channels; check duplicate detection settings.
- !Custom field mappings break silently after NetSuite customization changes.

Exception explanation
For each invoice that fails matching, read the PO, receipts and bill history across both systems and draft a plain-language reason, such as receipt not posted or price changed since PO.
Ask AP questions in plain language
Questions like which approved invoices are not yet paid for vendors on net 30, answered from Stampli status and NetSuite payment data with the query visible.
Vendor price drift review
Compare invoiced unit prices with PO and last-paid prices across invoices and flag patterns for a buyer to review.

When something else fits better
- NetSuite's own vendor bill capture and approval workflows may be enough for low invoice volume.
- Tipalti suits teams that also want supplier onboarding and global payments in the same tool.
- SuiteFlow workflows plus a simple OCR step can work for a small team with few approval rules.
Frequently asked questions
Does Stampli support 3-way matching with NetSuite?
Stampli describes both 2-way and 3-way PO matching using purchase orders synced from NetSuite. For 3-way matching to work well, item receipts must be posted in NetSuite promptly and tolerances configured, otherwise invoices land in the exception queue.
Where does the payment happen?
Payment status is synced from NetSuite, and Stampli describes payment status flowing back after payment is made there. Your team still runs payments through NetSuite or a payment provider; check which payment options your Stampli plan includes.
Can we map our NetSuite custom fields?
Stampli lists custom field mapping as part of the NetSuite integration. Map only fields you actually need on bills, and retest the mapping whenever your NetSuite administrator changes custom fields or forms.
Is this a fit for a manufacturer?
It can be, particularly for indirect spend and PO-backed purchases. Manufacturers with landed cost, subcontracting and many partial receipts should pilot with a few complex vendors first and review how exceptions are handled.
