Business Central Posting Groups Setup Worksheet
Posting groups are the quiet engine of Business Central finance: they decide which G/L account every sale, purchase and inventory movement hits. A wrong combination shows up as a posting error or, worse, silently posts to the wrong account. This worksheet lets you design the matrix with your controller before configuring General Posting Setup.
| Gen. Bus. Posting Group | Gen. Prod. Posting Group | Sales Account | COGS Account | Purch. Account | Direct Cost Applied Account | VAT Bus. Group | VAT Prod. Group | VAT % (%) | Sample net amount | VAT on sample | Status | |

In Business Central, General Posting Setup is a matrix of Gen. Bus. Posting Group and Gen. Prod. Posting Group, and each combination holds the G/L accounts for sales, purchases, COGS, direct cost applied and related variances. VAT Posting Setup is a separate matrix of VAT Bus. and VAT Prod. groups. Inventory Posting Setup is by location and inventory posting group. Account numbers and rates here are examples only; use your own chart of accounts and local tax rules.

Optional: an expert review comparing configured posting groups to what was actually posted.
Optional. The tool and every export work without this. No spam.
How to use the worksheet
List each combination of general business posting group (who you trade with: domestic, export, EU) and general product posting group (what you sell or buy: retail, services, raw material). For each, record the sales, COGS, purchase and direct cost applied accounts, and the matching VAT groups and rate. The sample column computes VAT so you can sanity check the setup. Move rows through Draft, Agreed, Configured and Tested, then export to Excel for sign off.
How the posting setup works
The customer or vendor carries a Gen. Bus. Posting Group and a VAT Bus. Posting Group. The item or G/L account carries a Gen. Prod. Posting Group and VAT Prod. Posting Group. When a document is posted, Business Central looks up the combination in General Posting Setup for the G/L accounts and in VAT Posting Setup for the tax accounts and percentage. Customer and Vendor Posting Groups hold the receivables and payables accounts, and Inventory Posting Setup holds the inventory account by location.
- General Posting Setup: bus x prod gives sales, COGS, purchase accounts
- VAT Posting Setup: VAT bus x VAT prod gives tax account and rate
- Customer and Vendor Posting Groups: control accounts
- Inventory Posting Setup: inventory accounts by location
Design tips
Keep the number of groups small and meaningful; each new group multiplies the combinations that need accounts. Separate groups only when the accounting differs, such as different revenue accounts for domestic and export sales or tax treatment that changes. Blank combinations cause the familiar error that the General Posting Setup does not exist, so cover every pair that can occur, including G/L accounts used in journals.
Common mistakes
Creating groups for reporting purposes that dimensions handle better, forgetting purchase variance and inventory adjustment accounts, using the same account for sales and COGS, and not testing with real postings per combination. Always test each combination in a sandbox and review the resulting G/L entries.
Frequently Asked Questions
What is General Posting Setup in Business Central?
It is the table that combines a Gen. Bus. Posting Group and a Gen. Prod. Posting Group to define the G/L accounts used for sales, purchases, COGS, discounts and variances when documents are posted.
Why do I get a General Posting Setup does not exist error?
The combination of the customer or vendor's business group and the item's product group has no row, or a needed account field is blank. Add the row and fill the accounts.
Should I use dimensions instead of posting groups?
Use posting groups when accounts differ. Use dimensions for analysis such as department, project or region, since they do not multiply the account setup.
How do VAT posting groups differ from general ones?
VAT groups drive tax accounts and rates only, while general posting groups drive revenue, cost and purchase accounts. Both matrices are used in the same posting.
If you are cleaning up posting setup after a migration or acquisition, Netray can help analyse posted entries against the setup.
