China ERP 5-Year TCO Calculator

A vendor quote shows license and implementation. Your real cost also includes support, hosting, internal staff and customization. This calculator rolls them into a multi-year total so you can compare Kingdee, Yonyou, Inspur or a foreign ERP on the same basis.

How to use it

Enter users and the per-user price from the quote, then the implementation person-days and day rate. Add the customization uplift for forms, reports and interfaces. Set support as a percent of license for years after the first, then infrastructure and internal staff per year. The tool outputs total cost and cost per user per year. Run it for each vendor with the same horizon, and use the user slider to see how cost scales.

What the model assumes

License is users times unit price. Implementation is days times rate, uplifted by the customization percent. Support is charged on license value in years two onward. Hosting and staff are annual and multiply by the horizon. The model is deliberately linear. Real contracts have tiers, module bundles and cloud subscriptions that rise with usage, so treat the output as a comparison frame rather than a budget.

  • TCO = license + implementation + support + infrastructure + staff
  • Support = license x support percent x (years - 1)
  • Cost per user per year = TCO / (users x years)

Common mistakes

The biggest error is comparing a subscription quote with a perpetual one over one year. Always use the same horizon. Another is leaving out customization, which for China manufacturers often covers fapiao integration, local report formats and links to MES or WMS. Add a contingency of 15 to 25 percent for scope growth, and ask each vendor which items are fixed price and which are time and materials.

Frequently Asked Questions

Can I use it for cloud subscriptions?

Yes. Put the first-year per-user price in the license field and set the support percent to the share that renews each year. Set infrastructure to zero if hosting is included in the subscription.

Why is internal staff included?

ERP systems need administrators, key users and developers regardless of vendor. Leaving them out makes cloud and on-premise options look cheaper than they are, and hides the cost of a heavily customized system.

What uplift is realistic for customization?

It varies widely with how standard your processes are. Plants with simple make-to-stock flows may sit near 10 percent, while engineer-to-order or heavy integration needs can exceed 50 percent. Use your fit-gap results.

Does it include data migration?

Not directly. Add migration days to implementation days, or use the migration effort calculator to estimate those hours first and convert them to days.

If you want a second opinion on a quote, we can check scope, assumptions and missing lines against your process before you sign.
