Contract Renewal and Notice Deadline Tracker Worksheet

Contracts that renew automatically cost real money when nobody notices the notice deadline. A simple register with end dates, notice periods and uplift percentages catches them in time. This worksheet is that register, exportable to Excel.

Compute the notice deadline as the end date minus the notice days, and add it to your calendar with a reminder 30 days earlier. Dates in the table are examples. Auto-renew clauses are the most expensive to miss.

Spend by supplier next to contract terms

Optional: ask how supplier spend from your ERP can sit beside contract end dates and notice periods.

Optional. The tool and every export work without this. No spam.

How to use the worksheet

List every contract with a term: supply agreements, service and maintenance, software support, leases, customer agreements and NDAs. Enter the end date and the notice period in days from the contract. Mark auto renew. Enter the annual value and the uplift percentage you expect on renewal, and the cost of that uplift is computed. Sort by end date and review monthly. Each row needs an owner and a next action.

  • Notice deadline equals end date minus notice days
  • Flag auto-renew contracts first
  • Record the owner who negotiates, not the signatory
  • Review the list monthly with finance

Why the uplift column matters

Most renewals include a price increase, either a fixed percentage or an index. Multiplying annual value by the uplift shows the cost of doing nothing. Across a portfolio this often justifies a rebid or renegotiation project, especially for maintenance and software support where vendors depend on inertia. Compare the total with your target savings.

Worked example

In the sample, the aluminium supply contract carries the biggest value at USD 310,000, with a 3 percent uplift costing USD 9,300 per year and a 120 day notice period. Its end date of 30 June means notice must be given by early March. The ERP support contract, with 60 days notice before 31 January, has to be addressed by early December, otherwise it auto renews at plus 7 percent.

Common mistakes

Common errors are missing contracts held by individual departments, tracking the signature date rather than the end date, ignoring notice periods, and forgetting evergreen contracts that renew after the first term. Link the register to your vendor master, so each supplier record in the ERP shows its contract end date and notice deadline.

Frequently Asked Questions

How far ahead should I review a contract?

Start at least the notice period plus 60 to 90 days before the end date. That leaves time to benchmark prices, rebid if needed, and negotiate. For large contracts, start even earlier.

What is an evergreen clause?

An evergreen clause renews a contract automatically for another term unless someone gives notice. Missing the notice window can lock you in for a year or longer, so these deserve the first alert.

Should NDAs be in the register?

Yes, they have end dates and survival periods too. They rarely carry cost, but confidentiality obligations can last years after the relationship ends, and you need to know what is still in force.

Can I export this to Excel?

Yes. Export to Excel or CSV and keep it on a shared drive, or import it into your contract system. Computed uplift cost exports as values.

Netray can help pull spend by supplier from your ERP next to contract terms, so renewal decisions use real numbers. This is optional.
