This template is a starting point, not legal advice. Cancellation charges should be supported by your quotation, order acknowledgement or terms of sale. Charges must be reasonable and tied to real cost; local consumer and commercial law may limit them.

Total WIP cost from your ERP

Optional: ask how cancelled order cost can be pulled from your ERP automatically.

Optional. The tool and every export work without this. No spam.

How to use it

Pull the sales order, routing time bookings and open or received purchase orders from your ERP. Enter labor at the quoted rate for completed operations only, material that cannot be returned or used elsewhere, and any handling fee your terms allow. State where finished or partial goods will go. Export to PDF, review internally with finance, and send under the cover of the terms the customer accepted at quote stage.

  • Charge completed work, not planned work
  • Show material that is special order or cut to size separately
  • Reference the quotation or terms of sale clause
  • Offer supporting records on request

What makes a charge defensible

A cancellation charge should reflect real cost incurred or a pre-agreed schedule that the customer accepted. A table of labor, material and handling with references to routing and supplier invoices is much easier to defend than a flat percentage. If your terms specify tiers, for example more of the price is chargeable the closer the cancellation is to shipment, quote the tier. Credit anything you can reuse or return to stock.

Worked example

A custom frame order of USD 28,000 is cancelled after cutting and part welding. Completed operations total USD 6,400 at the quoted shop rate. Steel plate cut to size cannot be returned: USD 3,150. Standard bar stock returned to inventory carries a handling fee of USD 420. The total of USD 9,970 is about 36 percent of the order, which the notice itemizes line by line.

Common mistakes

Common mistakes include charging for material later reused on another order, omitting the contract basis, sending the notice weeks later, and not saying what happens to the goods on hand. Another is forgetting to close the order and release the reservations in the ERP, which leaves ghost demand in planning.

Frequently Asked Questions

Can I charge a cancellation fee if it was not in my quote?

It is harder. Without an agreed term you can usually only claim actual provable loss, and a customer may dispute it. Add a cancellation clause to quotes and order acknowledgements going forward.

What is a reasonable restocking fee?

Fees commonly range from about 10 to 25 percent of returnable stock value, depending on handling and supplier terms. It should reflect your real cost and what your terms stated.

Should I stop work immediately on cancellation?

Yes, once cancellation is confirmed in writing. Stop operations, cancel open supplier orders where possible, and record the cost to date so the charge is accurate and can be supported.

What if the customer disputes the charge?

Respond with routings, time records and supplier invoices. A line by line breakdown usually resolves most disputes. For large amounts, involve counsel before escalating.

Netray can help you build ERP reports that total WIP cost, material commitments and returnable stock for a cancelled order in seconds, on your own infrastructure.
