Custom Seal RFQ and Specification Template
A seal quote is only as good as the application data behind it. This RFQ template collects the details a supplier needs, such as fluid, temperature, pressure, gland geometry and certificates, so you get a correct price and compound recommendation without a second round of questions.

Approvals
A starting point for a seal request for quotation. Edit the fields to match your drawings and purchasing process. This is not legal advice and does not replace your purchase order terms or quality agreement.
Turn RFQ responses into a comparison table
An optional demo of extracting supplier quote lines into a structured, auditable comparison.
Optional. The tool and every export work without this. No spam.
How to use it
Fill in the fields, starting with the seal type, the application and the size. Describe the media precisely: a fluid name and grade is better than 'oil'. Add the temperature and pressure extremes, the gland dimensions or drawing reference, quantities for price breaks, and the certificates you require. Export to PDF or Word and send it to suppliers, or paste the response checklist into your supplier comparison.
- Ask for price at three quantities to see the setup effect.
- Attach the gland drawing; most wrong quotes come from missing groove data.
- State if the seal contacts food, potable water or medical fluids.
What suppliers need and why
Compound choice depends on fluid, temperature and compression set requirements, so those are mandatory. Size and gland geometry drive squeeze, stretch and fit. Motion, speed and pressure decide whether a plain O-ring, a lip seal or a PTFE seal with a backup ring is the right answer. Quantity and annual usage decide whether the supplier cuts a mould or machines the seal. Missing any of these usually means the supplier quotes the most conservative, and most expensive, option.
Quote comparison
Compare quotes on a like-for-like basis: the same compound code and durometer, the same tolerances and the same certification package. The response checklist block prompts for tooling ownership, minimum order quantity, lead time for samples and production, and validity. Alternate materials are worth requesting, since a supplier may know of a lower cost compound that meets the same requirement.
Common mistakes
Frequent problems include specifying a durometer without a compound family, omitting the temperature extremes, and leaving certificate requirements for the purchase order, which is too late. Another is describing fluid by trade name only. If the seal will be used with several fluids, list them all; the compound has to survive every one. Record the supplier's final compound code in your ERP so repeat orders stay identical.
Frequently Asked Questions
What information should an O-ring RFQ include?
At minimum: size or dash number with tolerances, material and durometer, fluids, temperature and pressure range, type of motion, gland dimensions, quantities, certificates required and delivery date. The more specific the application data, the sharper the quote.
Should I specify the compound or the application?
Give both. State the application conditions so the supplier can recommend a compound, and state your current or approved compound so they can quote it. This lets you compare a like-for-like price and an engineered alternative.
How many quantity breaks should I ask for?
Three is usual: prototype or first article, typical production lot, and annual volume. Molded seals show strong setup and tooling effects, so the spread between breaks tells you how much of the cost is fixed.
Is this template legally binding?
No. It is a request for quotation form meant to collect technical and commercial data. Binding terms belong in your purchase order or quality agreement. Have your own counsel review any contract language before you use it.
If RFQs and supplier responses are scattered across email, we can explain how a private assistant extracts quote lines into a comparison table and links them to your item and vendor records.
