EDI Partner Test Plan and Sign-Off Template

Most failed EDI go-lives were not tested beyond the happy path. A written test plan makes sure orders, changes, partial shipments and error conditions are all exercised, and that both you and the partner agree on results before production traffic starts.

Adapt the test cases to the partner's implementation guide and to your own order types. Run tests on test control numbers and test indicators (ISA15 T) until sign-off.

Automate EDI regression checks

Optional: discuss repeatable ERP to EDI comparison checks for each new partner.

Optional. The tool and every export work without this. No spam.

How to use the test plan

Fill in the header fields, export the document and share it with the partner. Run each case in the test environment, record the actual result and mark pass or fail. Log every defect with an owner. Do not move to production until the pass criteria are met and the sign-off lines are completed. Keep the signed copy with the partner file for audit and later troubleshooting.

  • Use the test usage indicator in the ISA envelope for test traffic
  • Test with realistic data, not only one-line orders
  • Capture each 997 for the evidence trail

What good coverage looks like

At minimum test one clean case and one edge case for each document. For inbound orders, multi-line, multi-ship-to, changes and duplicates matter. For outbound ASNs, a single carton and a multi-level pallet and carton hierarchy catch most structural defects. For invoices, test partial shipments and any tax or freight charges. Include a deliberate failure so you know alerts and the error queue work.

ERP specifics to verify

Check that the ERP numbers and statuses match the EDI result: order type and customer assigned correctly, units of measure converted, pricing validated against the PO and the ship confirmation event firing the 856. In SAP, inbound orders arrive as IDocs such as ORDERS and outbound shipments as DESADV, so verify the IDoc status as well as the EDI file. In other ERPs check the equivalent staging table or import screen.

Common mistakes

Moving to production on a single successful order, forgetting to switch from the test to the production indicator, reusing test PO numbers that later collide with real ones, and not agreeing on who signs off for the partner. Also confirm cut-over timing so open orders in the old channel are not lost or duplicated.

Frequently Asked Questions

How many test cases are enough?

Enough to cover each document type's normal case, its main variations and its failure handling. For a typical 850, 855, 856, 810 set, twelve to twenty well chosen cases are often sufficient, plus any cases the partner requires.

What is the ISA15 test indicator?

ISA15 in the interchange envelope is the usage indicator. A value of T marks test data and P marks production. Using it correctly prevents test documents from being processed as real transactions.

Who signs off an EDI go-live?

Typically your EDI coordinator, the ERP or IT owner and the business owner such as customer service, plus the partner's EDI contact. The exact approvers depend on your governance.

Should I test after go-live too?

Yes. Retest after any map, ERP or partner specification change, and keep this plan as the regression baseline.

If testing takes weeks of manual comparison, Netray can help build repeatable checks that compare ERP records with EDI payloads.
